Today, we are recruiting for a Senior Document Controller to join our team in Egypt. This is an excellent career opportunity for professionals looking to join a truly international team in one of the biggest projects of Siemens Mobility.

What are my responsibilities?

  • Develop and maintain document management policies and procedures.
  • Create guidelines for the creation, review, approval, distribution, and retention of documents, ensuring compliance with organizational and regulatory standards.
  • Manage document control processes: Oversee the processes for managing documents throughout their lifecycle, including revision control, versioning, and archival.
  • Develop and implement document templates: Create standardized document templates that ensure consistency across documents and facilitate the efficient creation of new documents.
  • Set up and maintain of the project environment in the electronic document management system (data ownership, folder structure, roles, and rights, storage/classification criteria) in cooperation with the project manager and any further interface partners.
  • Ensure accuracy and completeness of documents: Ensure that all documents are accurate complete and meet organizational standards and requirements.
  • Facilitate document review and approval processes: Oversee the processes for document review and approval, including managing workflows, deadlines, and notifications.
  • Maintain document libraries and databases: Establish and maintain systems for storing,
  • organizing, and retrieving documents, ensuring easy access for authorized personnel
  • Train employees on document management processes: Develop and deliver training programs to educate employees on document management policies, procedures, and best practices.
  • Coordinate with cross-functional teams: Collaborate with other departments to ensure that documents are created and managed in accordance with organizational needs and standards.
  • Train employees on how to create, manage, and maintain documentation, including best practices for organization and version control.
  • Work with stakeholders to ensure that documentation is communicated effectively across the organization and that everyone is aware of where to find the latest versions.
  • Work with cross-functional teams to ensure that documentation is aligned with organizational goals, policies, and procedures.

What do I need to qualify for this job?

  • Bachelor's degree in Business Administration or any equivalent.
  • Minimum of 3 years professional experience as a document controller.
  • Computer knowledge, document management software such as (Aconex, Microsoft SharePoint, Microsoft OneDrive, SAP P22, Project Wise by Bentley), MS Windows and MS Office applications, etc.
  • People Management experience.
  • Fluency in both written and spoken English.
  • Ability to make regular visits to project sites in different governorates.
