Job Summary:

The Procurement Administrator is responsible for carrying out the procurement activities for the South Africa office. 

Primary Functions & Responsibilities:

Procurement

  • Manage procurement for administrative needs of the country office.
  • Ensures accountable, timely and cost-effective delivery of supplies to the program.
  • Mentor staff on procurement procedures
  • Maintain procurement templates and ensure best practices are known and used throughout the program, keeping up to date with TechnoServe’s procurement policies.
  • Arrange for all supplier payments ensuring compliance with procurement procedures to be fair and transparent.
  • Negotiate preferential rates with regular suppliers of key product services; e.g., hotels, airlines to obtain competitive discounts.
  • Maintain good relations with suppliers, following up on invoices and statements.
  • Assist in coordinating vendor pre-qualification and annually updating the vendor listing.
  • Any other duties assigned by the supervisor.

Operations and Administration

  • Arrange travel bookings for staff when the need arises.
  • Update and maintain assets register; this involves receiving all assets and equipment purchased, tagging the equipment, updating the records in the register, and forwarding tagged and ensuring all assets in the hands of employees are registered.
  • Assist in any IT related matters for the office.
  • Manage all operational and administrative functions of the programme.
  • Responsible for all registration and legal requirements to operate in South Africa, including annual tax returns and board coordination.
  • Update and maintain assets register.
  • Manage all IT related matters for the office.
  • Any other business assigned.

Basic Qualifications:

  • Bachelor’s degree in Procurement, administration, or any business related qualification.
  • Minimum of 2 years in Procurement field

Travel: 5%

Knowledge, Skills and Abilities:

  • Excellent oral and written communication skills (in English)
  • Ability to work under pressure and commitment to meet deadlines.
  • An understanding of Outsourcing, best value for money.
  • Good problem-solving and analytical skills
  • Excellent computer skills
  • Strong interpersonal and cross-cultural skills
  • An understanding of NGO sector compliance rules and seen as a source of advice on compliance options and risks of noncompliance
