Job Summary:

The Department of Hospital Administration at SUNY Downstate Health Sciences University is seeking a full-time Assistant Facilities Coordinator / Assistant Administrator.

Under the general supervision of the AVP for Hospital Facilities and the Facilities Coordinator/Project Manager: The successful candidate will be responsible for, but not limited to:

  • Coordinating all activities involving the care and maintenance of hospital buildings and grounds: such as evaluating maintenance requests; setting priorities for repairs; planting seasonal flowers and shrubs; trimming and cutting hedges; and winterizing the sprinkler system.
  • Making rounds of the facility (inpatient/outpatient and offsite locations) to identify areas for repairs, furniture, appliances and other miscellaneous areas. Generating necessary work orders and/or purchase requisitions. Following up with FM&D and/or designated vendors to ensure that outstanding issues, problems and concerns have been resolves.
  • Respond to call/emails to remove or deliver beds and/or cribs to the specific units
  • Monitor and collaborate with the Bed Shop, Clinical Staff and FM&D to maintain and inventory patient and staff furniture. Making sure units and patients’ rooms and fully complimented with the necessary furniture/appliances, (i.e. desk chairs, Over-bed & beside tables, small refrigerators, microwaves). Keep a surplus in stock and order when necessary.
  • Hiring contractors and/or subcontractors to perform maintenance work too specialized to extensive to be performed by hospital maintenance personnel (i.e. Flooring replacement), overseeing their work, and maintaining written records/logs on repairs made and/or jobs completed. Ensuring that all contractors and/or subcontractors are properly credentialed before they are permitted to provide services in the hospital.
  • Establishing and maintaining a reliable network of outside vendors and suppliers to ensure cost effective and timely support of the maintenance function.
  • Performing routine inspection of hospitals maintenance equipment (i.e. mowers, edger’s).
  • Renovating offices, patient rooms, bathrooms, locker rooms, etc. Providing swing spaces, empty entire offices of all contents including documents to archive. Surplus all furniture/equipment deemed unserviceable and discard. Storing all other serviceable equipment, furniture or miscellaneous items for future use. Coordinating dates and times with vendors and UHB personnel to move or empty a space for renovation and replace after completion.
  • Serving as the hospitals point of contact for recycling, which entails taking inventory of and properly disposing of all e-waste (computers, copiers, printers, monitors, peripherals).
  • Other duties as assigned by the AVP for the Hospital Facilities and Facilities Coordinator/Project Manager.

Required Qualifications:

  • Baccalaureate Degree from an accredited college in Engineering or Architecture with 4+ years of related full-time work experience;
  • OR a high school diploma (or equivalent) and 8-years of related full-time work experience. 
  • Related experience includes work involving responsibilities such as: 
  • Evaluation and layout of space in buildings and other structures similar to those in a hospital or educational institution.
  • Experience in projects requiring broad knowledge of construction needs, costs, and building standards, developing and interpreting schematic layouts.
  • Installation of technology such as computer and telecommunications systems. 
  • Outstanding verbal, written and interpersonal communication skills.
