Overview

The Administrative Assistant will ensure that all correspondence, written reports and telephone communications are handled in a manner that reflects quality of service as well as the professional standards of the agency. They will also assist the staff in the orderly processing of all aspects of the administration of the program as may be required.

Title: Administrative Assistant, Red Hook Community Center Beacon

@ PS 15 (part-time)

Reports to: Program Director

Location: 71 Sullivan Street, Brooklyn NY 11231

Hours: 18 Hours/Week; Non-Exempt

Salary: $20.32 - $22.52

Major Duties:

  • Act as liaison to school and community by being present during non-program hours, both as program operates in-person and virtually
  • Process clerical material, including typing and filing of all program and administrative correspondence and reports.
  • Manage petty cash process (monitor receipts, reimbursements, requests and backups).
  • Submit inventory requests and replenish office supplies.
  • Submit daily attendance for program participants and staff.
  • Manage program database and provide reports as needed.
  • Create file system and maintain records in an orderly and accessible manner.
  • Create and manage system for registration, waiting lists and attendance for programs and special events.
  • Attend job related training and staff meetings.
  • Record and organize minutes for staff meetings.
  • Greet and announce visitors to program.
  • Sort and distribute incoming and out going mail.
  • Receive packages and coordinate messenger services.
  • Assist in mass mailings and packet preparation for special events and programs.
  • Maintain cleanliness of the office.
  • Assist staff in implementing various program needs.
  • Perform other duties as assigned.

Qualifications: 

  • High school diploma and minimum of 3 years secretarial or administrative experience preferred.
  • Must have 2 years of related youth development experience.
  • Must have knowledge and competence in variety of database systems, and Microsoft Office Suite (Word, Excel, Teams, 365, etc).
  • Must have excellent verbal and written communication skills.
  • Must have a commitment to work from a strength based and/or youth development perspective.
