Position Summary:

We have an exciting opportunity to join our team as a Division Administrator.

In this role, the successful candidate provides leadership support and overall administrative direction for the Division which includes the management of non-physician staff. In conjunction with the Chair and Division Director, develops and implements strategic goals related to management of the Division, program development and related issues. The responsibilities of the Division Administrator, is best facilitated by an individual with highly effective interpersonal and communication skills, strong leadership and personnel management skills, exceptional organizational and interpersonal skills, and demonstrated financial and research management experience.

Job Responsibilities:

  • Provides oversight and management for all research administration activity within the division. Includes management of the post award activity in the division and compliance with all funding agencies and the IRB. 
  • Oversees preparation of all divisional budgets (i.e., operating, discretionary, grants, etc.) and manages salary allocations and expenses. Works with departmental administration to make necessary changes and resolve any issues.
  • Manages the entire staff within the division. Leads all HR related functions including hiring, terminations, visas, payroll and MSS changes. Addresses performance issues and ensures compliance with the annual review process and other institutional requirements.
  • In conjunction with the Division Director, oversees space and facilities planning for division. Manages the space, equipment and any facility related issues within the division.
  • In conjunction with the Division Director, develops and implements strategic plans for the recruitment of faculty in areas targeted for growth. Develops a business plan for review and approval by the Department Administrator and the Chair. Coordinates with central offices to develop the Term Sheet and Offer Letter and facilitate institutional approvals. .
  • Facilitates faculty contract renewals and amendments.
  • Establishes linkages and relationships with NYULH administrative and research departments including Sponsored Programs Administration and Institutional Review Board, Human Resources, Finance and relevant areas of other NYU schools and colleges.
  • Provides administrative supervision of all aspects of the academic programs within the division.
  • Proposes and implements creative approaches to program management and operational improvement within the division.
  • Performs other duties as assigned.

Minimum Qualifications:

To qualify you must have a Bachelor's Degree in Business, Health Administration or related field with a minimum of 5 years of progressive leadership experience in an academic medical center; or equivalent combination of education and experience. Evidence of highly effective project management; strong organizational and time management skills; ability to conceptualize and undertake research with excellent literature search techniques; effective interpersonal and communications skills and attention to detail; comfortable in the role of team leader and team member.

Preferred Qualifications:

Master's Degree in public health, public administration or research.

Qualified candidates must be able to effectively communicate with all levels of the organization.

NYU Langone Health provides a salary range to comply with the New York state Law on Salary Transparency in Job Advertisements. The salary range for the role is $110,479.19 - $135,000.00 Annually. Actual salaries depend on a variety of factors, including experience, specialty, education, and hospital need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
