Serving as a key support function to the Head of EU and Country Head of Moody’s Deutschland GmbH in the Regional Management team to help deliver on objectives and drive planning and execution. This role encompasses management, project execution and operational responsibilities across a wide range of opportunities and challenges. The role requires a combination of resourcefulness, strong organization, focus and flexibility, emotionally intelligent communications skills, ability to play an active, behind-the-scenes role, a high degree of personal and professional integrity, and discretion. 

Core Responsibilities

  • Work closely with the Head of EU to develop regional and country-level strategy
  • Act as liaison to EU Head with internal control functions and execute with minimal direction or outside assistance.
  • Lead special projects, typically on time sensitive matters or that require quick-turnaround turnaround.
  • Create decision templates, protocols, and presentations; including preparation of board materials
  • Serve as central point of contact and coordination for operational, infrastructure and control issues that require Regional Management involvement 
  • Attend management meetings; identify agenda items; coordinate follow up to ensure execution of agreed-upon actions and effective flow of relevant information across teams
  • Prepare for external engagements with customers, regulators, policymakers and other key stakeholders. Coordinate internally to assemble briefing materials and follow up.
  • Draft responses to regulatory requests for information
  • Proactively review department administrative processes, consistently implementing best practices, efficiency improvements and establishing new processes when necessary
  • Oversee all aspects of personnel management for department including position management, on-boarding of new hires, promotions, transfers and terminations and periodic data integrity checks of Human Resources databases (i.e., PeopleSoft HRMS). Also includes ad hoc reporting of personnel information to department management as requested.
  • Establish clear protocols on standards of service and identify competencies with the administrative team. Effectively manage dissemination of work and performance across the team. Attend Senior Administrative Coordinator team meetings.
  • Oversee and maintain compensation budget within group ensuring that all increases (including merit, promotion, compression, etc.) are processed accurately, within budget and communicated on a timely basis. Additionally, may be called upon to manage group’s open positions and reserve fund.
  • Work with Office Manager on matters related to facility management and office space upgrades.
  • Coordinate and plan department- and office-wide events including group meetings, off-sites, outings and receptions taking care to stay within prescribed budget.

Qualifications

  • Excellent executive-style communications and presentation skills in English and German – visual/written/verbal
  • Ability to independently compose general German and English correspondence, memos and other documents for distribution to both internal and external clients of all levels
