A Client Success Associate works closely with Wealth Advisors and Financial Planners to build and nurture strong connections with our clients. They provide personalized service to our clients by managing the day-to- day needs of their accounts and serving as the primary contact in the relationship. As a Client Success Associate, they have experience that allows them to handle complex service situations.

Essential Functions

  • Join client meetings when it’s requested.
  • Meet with clients to execute paperwork or answer questions as necessary.
  • Subject matter expert in various areas
  • Active involvement in the estate settlement process
  • Facilitate company plan rollovers with clients.
  • Manage client private equity investments and other alternative investments.
  • Manage and lead various assigned department & firm projects.
  • Active involvement with training of new team members and the client onboarding process
  • Creation / ownership of personal roles and responsibilities & development plan

Competencies

  • Onboarding
  • Prepare all necessary contracts for client signature
  • Input/update client data in CRM
  • Prepare application(s), money movement forms, TOA(s)
  • Prepare cover letter w/details of paperwork for client
  • Use of technology for document preparation and processing
  • Research transferability of assets
  • Track and reconcile all transfers to confirm delivery and/or receipt of funds
  • Communicate with custodians as needed to ensure proper establishment of accounts
  • Communicate regularly with clients to keep them informed of any outstanding/completed items

Maintenance / Service Requests

  • Review and address custodian alerts
  • Review emails for action items
  • Monitor and manage all pending and assigned tasks in CRM
  • Send trade requests to Investment Operations as needed
  • Notify clients of completed requests
  • Beneficiary updates
  • Address changes
  • RMD distributions
  • IRA rollovers
  • Opening additional accounts for existing clients
  • Document all action taken on clients in CRM
  • Charitable contributions & gifting
  • 529/HSA accounts
  • Assist with meeting scheduling as needed
  • Assist with billing as needed
  • Generate Portfolio Reports/Retrieve statements, tax documents, and other reports

Coordinating Money Movement Requests with Cashiering

  • Wires, EFTs, Journals, Check Requests
  • Incoming / Outgoing TOAs

Retirement Plans

  • 401k/Cash balance rollovers, distributions
  • 401k/Cash balance terminations
  • ERISA retirement plans: establish, take over, conversions
  • Funding monitoring

Client Termination

  • Coordinate with others across the firm as appropriate
  • Work with Investment Ops to calculate final fee or refund
  • Prepare termination paperwork
  • Process termination with custodians
  • Update CRM as applicable
  • Follow all existing internal / compliance processes

Misc.

  • Proficient in soft-skills of the Client Success role (client communication, time management, working with other departments, etc.)
  • In-Depth training of new employees
  • Proactively communicate with clients
  • Participate in team meetings
  • Attend staff events

Physical demands

  • Sitting for long periods of time.

Travel required

  • Possible travel between offices for special events/training

Required education and experience

  • High School graduate or equivalent

Preferred education and experience

  • 2+ years recent experience working in a similar capacity in an RIA
  • Preferred experience with Salesforce, Microsoft Suite
  • Ability to efficiently manage time and capacity while in a fast-paced environment
  • Excellent communication skills, both verbal and written
  • A high level of multi-tasking and attention to detail
  • Enjoys problem solving and researching account-related issues
