PRIMARY PURPOSE: Perform many functions within Document Services, Records Center, Print Shop, and Mail Room including, but not limited to, digitizing records (Laserfiche), fulfilling student and employee records requests, operating a wide variety of equipment including production printing presses, operating computers, and computerized equipment, and communicating effectively with other team members. Also, assists in maintaining the production area and equipment and backing up the Office Manager for Document Services.

MAJOR RESPONSIBILITIES AND DUTIES:
1. Work in Student and Employee Records electronic systems to retrieve and respond to Student and Employee records requests.
2. Will assist the Public Information and Records Management Officer with record requests and documentation.
3. Provide consultative and technical assistance to district staff to plan, implement, and monitor their effectiveness in complying with the district’s records and information program.
4. Assists with the conversion of paper records to electronic records following best practices for the ECM software, including Laserfiche.
5. Assist with print production in the print shop and sorting of mail in the mail room. This includes off-line services such as binding, gluing, shrink wrapping, and shipping of print shop requests.
6. Assist with planning, developing, and presenting training programs for Document Service software users to ensure standardization of the systems and their effective use, and to educate employees regarding the usage of the electronic records systems.
7. Adhere to the Professional Code of Ethics and district policies.
8. Other duties as assigned.

EQUIPMENT USED:
Personal computer, printer, digital copier, fax machine, mail meter, multi-line phone system, radio communication equipment, digital camera, scanners, ladder, 2 or 4-wheel dolly and industrial shredder.

Mental Demands:
Must maintain emotional control and exercise reasoning and problem-solving skills while under stress. Must demonstrate ability to communicate effectively (verbal and written). Should be able to interpret procedures and analyze data for decision-making. Frequent in-district and occasional in-state travel. Occasional prolonged and irregular hours.
Physical Demands/Environmental Factors:
Moderate lifting and moving of packages/boxes (up to 50lbs); stooping, bending, prolonged standing; visual acuity; speaking and communicating clearly; repetitive hand motions and prolonged use of computer; driving variety of vehicles; operating warehouse lifts, pallet jacks, hand trucks, and assorted dollies. Work outside and inside; exposure to hot and cold temperatures; work with frequent interruptions.
Safety: Contribute to the prevention of accidents and injuries by observing safety rules and District policy, practicing the principles and skills taught in safety training, wearing personal protective equipment as required, reporting injuries and incidences immediately to supervisor, and being proactive in the ongoing efforts to improve and maintain workplace safety.
