The Opportunity

The HRIS Solutions Specialist, is both a strategic and hands-on role where you will be a team player responsible for being a product owner within the People and Places team responsible for partnering with Business Technology on our roadmap and ensuring we have the right systems and processes in place to deliver an exceptional end-user experience. You will also work across departments and geographies, interacting with our partners in People & Places, Business Technology, Finance, and Security. Success in this role is based on strong consulting skills coupled with technical expertise and comfort working in a fast paced organization. 

What you’ll be doing 

  • Responsible for implementing and supporting system upgrades, and post go-live technical support for Human Resource and Employee Experience technologies that include Qualtrics and Workday.
  • Proactively work with team and client stakeholders to understand business goals and technical requirements. Be comfortable and confident with gathering business requirements and outcomes.
  • Responsible for configuring and customizing the Qualtrics platform to align with program objectives - responsible to build survey and reports within Qualtrics to support People and Places Organization
  • Ensure the accuracy and integrity of data capture mechanisms and feedback surveys
  • Conduct data validation and quality assurance checks to ensure the accuracy and reliability of employee feedback data, identifying and resolving any data-related issues
  • Stay updated with the latest platform enhancements, industry trends, and best practices in customer experience management and feedback analysis
  • Develop training materials and provide guidance to stakeholders on data analysis best practices and platform functionalities. Analyze the effectiveness of current technology solutions and keep stakeholders informed of project progress by preparing and reviewing status reports to ensure on-time delivery of solutions.
  • Co-create, with process owners, the most efficient business processes across the People and Places organization utilizing existing HR and Employee Experience systems.
  • Drive adoption and usage of system changes and/or new tool launches across the People Team.
  • Facilitate end-user knowledge transfer through the development of systems documentation, training sessions and ongoing COE touchpoint.
  • Proactively communicate priorities and roadmap updates to stakeholders. 
  • Manage the deployment of new systems functionality, processes and/or integrations in partnership with Information/Business Technology and Human Resources, including assisting with User Acceptance Testing and providing training within People and Places P organization.
  • Escalation Point Of Contact for systemic deficiencies and/or issues and existing teams utilizing HR Systems.
  • Keep current on new Employee Experience(XM) releases, enhancements and communicate potential process improvements as well as ensuring solution designs are in line with scalable best practices.
  • Maintain and support ad-hoc reporting needs. 
  • Leverage technology to automate and optimize experiences including but not limited to portal, knowledge management, case management, lifecycle events, reporting and dashboards.
  • Collaboratively develop the business case for new products, improvements to existing products and business ventures.

  • Ongoing maintenance and support of Qualtrics including timely bug fixes and enhancements.
  • Post implementation, proactively identify other opportunities within People and Places for surveys- build out the roadmap

Relationships

  • Be a conduit between the People and Business Technology teams to answer questions or escalate issues as needed; Foster best practice discussions among Centers Of Excellence and end users to realize process improvements and workforce efficiencies.
  • Work with the Business Technology teams and Centers Of Excellence to ensure new processes, system enhancements and integrations are properly tested and documented.
  • Develop and maintain a governance structure that effectively manages the recommendations from Centers Of Excellence with Human Resource employee experience guidelines for global service delivery.
  • Collaborate with internal teams to share insights and knowledge that enhance the overall capabilities of the organization
  • Work closely with the People Agile and People Operations team to identify opportunities for surveys to enhance experience. 
  • Collaborate with People Analytics team to provide data from Qualtrics

What you’ll bring to the role

  • 7+ years of Human Capital Management SaaS configuration experience including Workday (core HCM)
  • 2+ years of experience performing configuration for surveys, dashboard development and implementation of related Qualtrics features (Employee XM)
  • Experience of supporting system upgrades, implementations, go-lives and post go-live technical support.
  • Strong technology aptitude and interest in research, data, metrics, and analysis.
  • Demonstrated ability to work independently, remaining agile and flexible in a challenging environment and managing multiple competing priorities.
  • Ability to understand the business requirements, user needs and translate them into operational requirements.
  • Ability to collect, organize, analyze, and disseminate significant amounts of information with attention to detail and accuracy.
  • Proven ability to perform with a high degree of accuracy and with highly confidential data
  • Working knowledge of Human Resource/Talent Process and analytics, information systems, including experience in designing, building, and testing processes/reports in various Human Resource processes like Talent Management
  • Ability to prioritize workload and execute tasks independently, providing timely follow-up and resolution.
  • Strong problem solving, troubleshooting and analytical skills.
  • Remote position open to all of US-based workers.

Below is the annual On Target Compensation (OTE) range for candidates located in California, Colorado, New York and Washington. Your actual OTE, which is inclusive of base salary and incentive compensation, will depend on factors such as your skills, qualifications, experience, and work location. In addition, Okta offers equity (where applicable) and benefits, including health, dental and vision insurance, 401(k), flexible spending account, and paid leave (including PTO and parental leave) in accordance with our applicable plans and policies. The annual OTE range for this position for candidates located in California, Colorado, New York, and Washington is between:$103,000—$172,000 USD The OTE range for this position for candidates located in the San Francisco Bay area is between:$128,000—$192,000 USD
