The Internal Project Manager (IPM) is responsible to follow the entire order management process into production plant, from quotation phase to shipment finalization. IPM is accountable for the correct order entry of the assigned projects as well for the on-time delivery, according to customer requirements. IPM is supporting PMO organization in managing customers.

In This Role, Your Responsibilities Will Be:

Quotation phase

  • When needed, support Sales/PSQ/PMO in analyzing customer requests, bringing their technical experience to quotation check. In particular:
  • Plant lead time, including sub-suppliers, operations, testing methods and shipping requirements
  • Documentation LT according to Doc. list as requested by customer
  • Project specifications analysis and comments

Project Execution

  • Analyze the final quote according to project specifications, technical clarifications / deviations list, closing the gaps before order entry into plant IT system
  • Lead the plant LT, including Order Entry phase. Ensuring the sub-orders placement is according to needed LT. Expediting sub-suppliers when needed trough Supply chain office. Lead documentation with timely submittal according to the agreed document list (including turnarounds)
  • Perform plant internal KOM to ensure all the functions are aligned on project requirements, timing and execution strategies. After iKOM, produce the minute of meeting with actions / achievements / target dates for the involved departments, ensuring the actions will be completed in the requested time
  • If requested, participate to KOM directly with customer to close the gaps on technical requirements
  • Manage customer comments on submitted documentation: check the submitted comments before sharing with relevant functions (Engineering, Quality, Testing, etc.)
  • Manage customer change orders: calculate cost/time impact for the requested modification, set the TP (Transfer Pricing) according to company rules based on calculated costs. Communicate the TP to PMO/Sales office
  • Support PMO/Sales in handling customer expectations during execution phase
  • Supervise the plant internal execution of the project, with reference to supply chain, production (machining, assembly & testing), packing and shipping process
  • Supports plant project execution within defined timeframe; proactively manages risks and potential delays; supports PM in margin increasing, according to defined strategy
  • Ensures Quality procedures and technical details are performed according to EMR / Customer requirements
  • Ensures the product is available for inspections. Drive and directly manage the witness inspections with Customer / TPA inspectors. Proactively manage any incurred issue, ensuring the NC/Punch list will be closed in a timely matter
  • Provides regular progress reports to PM, detecting any deviations from what has been programmed and take action for delay recover at plant prospective
  • Solve critical points of the project in a proactive way, guaranteeing the delivery of the product within requirements
  • Pro-actively manage order shipments according to POR target, ensuring sales target is reached in accordance with the forecast

Project Plant Lead

  • Focal point for requirements and progress status on the managed projects
  • Communicate with key plant functions (planning, operations, supply, engineering, quality, shipping, etc.) for production-related audits, sharing with them the project requirements, ensuring timely communication between the various departments
  • Conducts internal KOM and supervises all follow up activities related to the production, ensuring the completion of incomplete activities according to the timing required by the customer
  • Conducts Pre-Inspection Meetings and ensures proper follow-up of all agreed activities
  • Collaborate with Engineering and Operations for supervising work progress
  • Focal point for technical changes: IPM is checking customer comments / requirements on submitted documents, evaluating them before doc. submittal to other departments and collecting impacts for change order evaluation
  • Work closely with Production, Planning, Buyer, Suppliers, Value Streams & Quality to ensure project timelines are met
  • Actively manage order reviews in plant IT system
  • Provide information needed for corporate project planning, including: delivery times, key achievements in Primavera software
  • Identify any risk associated with project execution and undertake mitigation/recovery actions

Customer Relationship

  • Attend to KOM when needed
  • Attend and lead PIM at plant
  • Manage clients and/or their representatives during local visits and inspections

For This Role, You Will Need:

  • Equivalent technical degree in Engineering or related field
  • Proficient in English
  • At least 2 years’ experience in the manufacturing industry, preferably in project management
  • Ability to understand technical details
  • Excellent knowledge of the Office Package (especially Excel), and preferably MRP system
  • Excellent communication and bargaining skills
  • Results oriented and ability to work independently
