Title: Executive Office Project Manager

Location: Hybrid (work from home arrangement)

Shift: Monday to Friday (8:30am - 5:00pm)

Duties & Responsibilities:

  • Executive-Level Support:
  • Acts as a trusted liaison for the Executive Director, providing the highest level of confidentiality, customer service, and professionalism.
  • Keeps the Executive Director informed about environmental issues, acting as a reliable "barometer" for the organization.
  • Develops and maintains an internalized understanding of business and program goals to support the advancement of strategic priorities.
  • Administrative Expertise:
  • Oversees meeting planning and logistics, from drafting agendas to taking minutes, ensuring seamless and efficient proceedings.
  • Prepares the Executive Director for meetings and speaking engagements, conducting thorough research and developing compelling presentation materials.
  • Composes first drafts of written communication, reflecting the style and voice of the Executive Director and organizational core values.
  • Relationship Management:
  • Manages relationships with high-impact constituents, including executive and senior leaders, major donors, community leaders, and prospects.
  • Serve as a proxy for the Executive Director in approving timesheets, overseeing email and mail management, and handling ED correspondence promptly and efficiently.
  • Project Leadership:
  • Leads and oversees special projects, ensuring high-quality and timely deliverables that align with the standards of the Executive Director.
  • Develops, implements, and manages project work plans, providing transparent tracking status and delivering monthly reports to the Executive Director.
  • Collaborates with project staff and internal customers to prepare formal Project Charters and project plans.
  • Budget and Resource Management:
  • Manages project budgets, resource schedules, and allocations to ensure efficient use of resources.
  • Develops project schedules, planning documents, and establish expected outcomes, ensuring alignment with organizational goals.
  • Conducts risk and issues analysis for projects, implementing effective mitigation strategies.
  • Data Analytics and Reporting:
  • Utilizes proficiency in data analytics and visualization to oversee, manage, and support data collection, analysis, and reporting.
  • Compiles and summarize data to meet Executive Director's specific needs, preparing status reports and facilitating review meetings with project teams.
  • Supervisory Responsibilities:

Executive Office Coordinator

Qualifications:

  • Bachelor's degree in non-profit management, business, or related field. Master’s degree in business administration preferred.
  • Minimum five (5) years of project management experience, with emphasis on best practices and methods, preferably in a service driven environment.
  • Minimum five (5) years of progressive experience supporting an executive in a similar role, non-profit experience preferred.
  • Minimum three (3) years of supervisory experience.
  • Prior experience driving change in a complex organization is preferred.

Certifications/Licenses:

  • PMP, Agile, SCRUM or similar project management certification
  • Lean certification or similar certification, lean green belt is a plus.

Knowledge/Skills/Abilities (K/S/A):

  • Demonstrated ability to independently and proactively handle multiple priorities, project management, and meeting coordination and facilitation
  • Excellent communication skills. Strong networker, convener, relationship builder and communicator with experience collaborating with diverse work teams and stakeholders.
  • Demonstrated ability to handle confidential and sensitive information possessing skills to handle situations in a professional and diplomatic manner.
  • A high degree of collaboration and emotional intelligence, self-motivation, and analytical ability.
  • Proficiency in Microsoft Office, Internet Explorer, Outlook/Exchange; Windows operating systems; and other software routinely used by Heartland Alliance.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Ability to work independently and remain self-motivated with minimal direct supervision.
  • Strategic thought partnership and consultancy skills.

Work Arrangement:

This role is eligible for a “hybrid” or “remote” work arrangement. If hybrid, it is expected this person would be able to meet for “in person” meetings when needed or at the request of others. In-person meetings may be required on a regular basis (weekly, monthly, etc.). There may also be the availability to work from home when appropriate.
