About the role:

We have an exciting opportunity to join our team as an Associate Program Manager . 

Responsible for providing moderate program coordination functions. Responsible for supporting, promoting and coordinating the implementation, development, delivering and evaluation of a site wide program. Works with internal and external parties to organize the various components needed to initiate, run and conclude programs. Supports, promotes and coordinates the development of site wide programs and activities. Facilitates the administration process of departmental activities. Works under general direction. 

How You’ll Contribute:

Scheduling & Coordinating -Organizes and coordinates schedules, activities and special events. Coordinates conference/meeting preparation activities (checking and coordinating the logistics and technical support, making food and beverage arrangements, etc) and other related activities. May assist in special event planning. 

  • Provides moderate to advanced coordination for program activities to a manager or director of department that includes but not limited to: coordination of programs while working/communicating with internal and external parties to organize and coordinate the various components needed to initiate, run and conclude 
  • Evaluate and make recommendations based on analyses, observation and or feedback. 
  • Develops program schedules, may oversee purchase requisitions and invoice payments. Assists in developing departmental plans, goals, objectives, policies and procedures. 
  • Participates in special programs and performs other duties as required. 
  • Prepares and reviews documents independently and generates status/progress reports for ongoing and pending programs. 
  • Plans, arranges, outlines and drafts agenda, presentations and reports. 
  • Manage and track complex and active external meetings with., including follow-ups, contact info, action items. 
  • Synthesize verbal and written thoughts/notes/requests and other info into notes, action items, deliverables, and either address independently or direct to team members for follow-up. 
  • Collect and prepare information and background materials for use in discussions/meetings. 
  • Assist with ad-hoc tasks and projects and manage and collaborate on projects and priorities across teams and functions. 
  • Assist with event planning and logistics coordination for team meetings, all-hands meetings, customer meetings and any other type of meeting. 
  • Act as the central point of contact for coordination of department activities (team meetings, all hands, off-sites, lunches/dinners, team events) 
  • Prioritize people and situations in need of immediate attention and response to inquiries. 
  • Make occasional domestic and international travel arrangements and process travel expense reports based on direction from the traveler. 
  • Maintain organizational charts and email distribution lists. 
  • Manage expense report coordination and submission.

  • Able to communicate effectively using multiple modalities including verbal, written, and presentation in a variety of settings including one-on-one, small and large groups, in-person and online. 
  • Knowledgeable about how organizations work and know how to get things done through both formal channels and an informal network. 
  • Comfortable in a fluid, high-growth environment and can effectively cope with change, shifting gears when needed to achieve results. 
  • Keen to learn and do more and believe that no task is too small. 

Requirements

  • Bachelor’s degree. 
  • Minimum 3+ years of experience in event management or program coordination/management. 
  • Exceptional interpersonal skills to be able to influentially drive alignment among stakeholders while ensuring execution accountability across teams. 
  • Hybrid working model. Requires 3 days in the office weekly. 
  • Comfortable working with the US-based teams in US time zones, as needed. 
  • Organized, attention to detail, and a high level of accuracy are required. 
  • Ability to work in a fast paced, dynamic environment 
  • Ability to analyze and solve problems effectively. 
  • Ability to work independently with minimal supervision.
