Department Overview

Investment Solutions & Services (ISS) is a new alignment of existing teams that focuses on the development of investment products and services, and their distribution to wholesale, institutional, intermediaries and other B2B clients. It is managed as a separate business from Fidelity’s Platform Business which offers a range of products and services that help end investors improve their financial health.

Investment Solutions & Services (ISS) includes Investment Management teams for Equity, Fixed Income, Multi Asset and Real Estate asset classes, Distribution teams that cover UK & Europe, Asia Pacific including Japan and Australia, a global Product Development team and the COO organisation for ISS.

The Investment Management Support & Solutions team is a cross asset delivery & support function driving collaboration, consistency & execution across the global asset management platform. The team drives strategic initiatives, provide support services enabling our investment team, and partners with our investment leaders to strengthen oversight, risk controls & regional regulatory engagement. Within the IM Support & Solutions function the Sustainable Investing Services team is responsible for supporting FIL’s proxy voting activities as well as core governance & reporting activates underpinning FIL’s sustainable investment approach.

Purpose of your role

This position offers hands on experience of the key parts of the voting process, exposure to related parts of the business and to contribute to meeting our ESG responsibilities.

A key focus of the role is to assist draft communication to our investment team and to validate that the instructions and records within the voting platform sent to the companies match the conclusions and decisions reached by the investment and ESG team. The candidate will assist in the administration of the voting platform including reviewing the pipeline of events and collating information to prepare research communication. Furthermore, confirming that the instructions are aligned with any investment, corporate actions, contractual or regulatory restrictions. 

Your role is to ensure that all interactions and work with the Sustainable Investing team is handled in a timely manner and with a quality response.

Key Responsibilities

Voting Research, Analysis, and Instruction Management:

  • Learn and capture FIL’s voting policy, market level best practices, corporate governance related knowledges and apply those accordingly in day to day analysis.
  • Monitor administration of voting activity and integrate special situations including client restrictions, corporate actions, market or event rules.
  • Ensure custodian bank instructions align with our investment team’s views.
  • Administration of voting on routine items.
  • Assist with record keeping of voting activity.
  • Highlight key issues for escalation.

Shareholder Rights - AGM/ EGM Agenda Analysis, Summary and Communication:

  • Prepare recommendations in English for Fidelity’s Investment Team based on templates and research on key issues at shareholder meetings.
  • Collate information and data from voting platforms, internal records, and research from third-party agents.
  • Coordinate communications from the investment team and client services on voting matters.
  • When required, interact with custodian banks, voting agents and assist on ad-hoc projects.

Reporting and Documentation:

  • Produce quarter voting reporting summaries.
  • Produce controls reporting to meet audit and risk requirements.
  • Assist on general ESG reporting projects and requirements.
  • Maintaining documentation, managing execution and provide end to end ownership of all existing processes,
  • Production of public voting activity disclosure reporting to meet regulations and local stewardship codes.
  • Production of data for Fidelity board reporting.

Oversight

  • Assist monitor voting activity and integrate special situations including client restrictions, corporate actions, market or event rules.
  • Audit ofcustodian bank instructions align with our investment team’s views.
  • Manage audit interactions with third-party agents and reporting.
  • Highlight key issues for escalation.
  • Assist monitor and coordinate voting power of attorney documentation requirements.
  • Assist monitor and coordinate changes to account setups.
  • Contribute to process improvement and ongoing projects to enhance efficiency and automation.
  • Audit responsibility to prevent process deviation or breaches.

Skills and Requirements

  • Highly efficient English communication skills in both writing and speaking.
  • Background in finance related functions or business data operation management. Deep understanding and solid experience in business metrics, operational excellence delivery, business compliance, and global collaboration model.
  • Highly sufficient skills in Microsoft Excel, PPT is required. Other data analytical tools, automation skills, VBA would be a strong plus.
  • Major in Accounting/Finance/Investment and Master degree is preferred, but not mandatory.
  • Demonstrated learning ability and interest in Investment related knowledge. CFA Certificate or ESG Investing certificate is highly preferred.
  • Experience as junior Project Manager, Business Analyst, SME would be a strong plus.
  • Analytical thinking, problem-solving skills, strong attention to detail and dedication to manage and work to tight deadlines
  • A good team player with open-minded, flexible and positive attitude for changes.
  • Self-disciplined and self-motivated to drive business result with a clear career plan.
  • Able to manage stakeholder and deliver high quality work under pressure.
