Role Description:

PJT wishes to hire an experienced and highly motivated Administrative Assistant to provide support to all the members of the Paris / French team, working closely with our London and other offices (when needed) and actively participate to the day-to-day life of the Parisian office. The ideal candidate will possess a positive and constructive mindset, strong administrative, organizational and communication skills and have the ability to exercise good judgement in a variety of situations.

Responsibilities:

Additional responsibilities include:

  • Act as gatekeeper to all professionals of the Paris / French-coverage team and maintain relationships with clients, investors, prospective clients and internal colleagues, providing back-up to other administrative assistants as required
  • Help with the management of the Paris office (expenses, supply purchase, dealing with Regus, reservation of meeting rooms when needed, taxis, etc.)
  • Manage calendars, schedule appointments, coordinate with other assistants, and confirm meetings with clients and internal colleagues
  • Cover multiple phone lines, and communicate with clients as requested
  • Send and reply to emails on behalf of professionals; draft other correspondence
  • Maintenance of Client Relationship Management (CRM) Database
  • Research and assist in the development of internal and external meeting materials to ensure professionals are prepared for client pitches, conferences, and speaking engagements (including the preparation of company summaries and key people’s biographies) and follow up on any action items (providing notes from prior meetings, tracking personal client details etc.)
  • Prepare and print presentation materials with attention to quality and detail
  • Proactively seek to learn and understand the business to better assist professionals and/ or clients
  • Arrange travel and reservations for professionals (e.g. flights, cars, hotels etc.), using good judgement with respect to timing and cost; assist with client travel as required
  • Handle confidential documents and correspondence as required, including some personal administration
  • Undertake data entry in all applicable databases with a strong attention to detail and integrity of data
  • Provide back-up to other administrative assistants as required (holiday cover etc).

Qualifications:

PJT Partners seeks to hire individuals who are highly motivated, intelligent and have demonstrated excellence in prior endeavors. In addition, qualified candidates will possess the following:

  • Minimum of 3 years’ of experience working in financial services, law firms or private equity funds
  • Exceptional organisational and time-management skills; ability to manage multiple priorities and work under pressure; problem solve and make adjustments as needed
  • Excellent oral and written communication skills (in both French and English) and high attention to detail professional presence, positive demeanor and strong interpersonal skills
  • High level of integrity, sound judgement, and strong work ethic
  • Positive, constructive and problem-solver mindset
  • Eagerness to work in an entrepreneurial, results-driven environment
  • Proficiency in Microsoft Office Suite, Salesforce
  • Fluency in French and English is required
