The Staff Assistant works under the overall guidance and supervision of the Chief of Section and Security Coordination Officer.

Responsibilities

Within limits of delegated authority, the Staff Assistant will be responsible for the following duties: • Performs, under minimal supervision, the full range of office management and administrative support functions for the Europe and Americas Desk, Division of Field Operations (DFO). • Maintains liaison with the Executive Office and with senior officials in other units regarding the project and related courses, and other administrative matters; monitors processes and schedules related to the project’s outputs, products, tasks, etc. • Ensures smooth and efficient information flow within the unit; prepares and processes confidential information; assists in the development of office administrative systems and procedures. • Researches, compiles and summarizes background materials for use in preparation of reports, briefs, speeches, etc. • Takes full responsibility for course and conference management, assistance and the coordination of meetings and trainings, according to the special timeline of the project, handling all necessary arrangements (e.g. room reservations, guest/participant lists, invitations, catering, seating arrangements, background documentation, special equipment, etc.), with minimal supervision prepares estimates/budget for conference and training costs. • Coordinates the work of office support staff in providing meetings servicing/administrative support to various courses. • Attends meetings, prepares minutes, monitors follow-up activities. • Travels to workshop locations away from Headquarters to provide the full range of administrative support for courses. • Responds or drafts responses to a wide range of correspondence and other communications; uses standard word processing package to produce a wide variety of large, complex documents and reports. • Manages, updates and further develops internal databases; updates website; generates a variety of standard and non-standard statistical and other reports from various databases. • Carries out quality control function for outgoing documents; proofreads and edits texts for adherence for format, grammar, punctuation and style. • Responds to complex information requests and inquiries (e.g. answers requests requiring file search, etc.). • Assists in the preparation of presentation materials using appropriate technology/software. • May provide some specialized support to the project (e.g. technology support, editing, desktop publishing, etc.). • Maintains calendar/schedules; monitors changes and communicates relevant information to appropriate staff inside and outside of the Division. • Performs a variety of administrative duties (e.g. leave recording, meeting organization, reservations, office supply and equipment orders, etc.), including preparing and/or processing administrative requests/documents (e.g., travel requests, expense claims, vouchers, visa applications, etc.). • Maintains files (both paper and electronic) and databases. • Performs other duties as assigned.

Work Experience

A minimum of five (5) years of experience in general office support, administration or related area is required. The minimum years of relevant experience is reduced to three (3) years for candidates who possess a first-level university degree or higher. Experience in organizing and supporting trainings and conferences is required. Experience in making travel arrangements and processing it using an Enterprise Resource Planning (ERP) system, such as Umoja or equivalent, is required. Two years of experience with the United Nations or similar international organization is desirable. Advanced knowledge of Microsoft Excel and extracting, managing large amount of data and producing reports is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English (oral and written) is required. Fluency in Spanish is desirable. Knowledge of another official United Nations language is an advantage. Note: Fluency equals a rating of "fluent" in all four areas (speak, read, write and understand). Knowledge of equals a rating of "confident" or "fluent" in at least two of the four areas.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

  • This position is temporarily available due to the regular incumbent's assignment to another position and is available through 31 December 2024. The selection and extension of appointment of the selected candidate will be contingent on the return of the incumbent who maintains a lien against this post.
