PURPOSE OF POSITION:
Receives incoming calls, enters information into the system and begins the claims handling process. Trains to confirm coverage, conduct initial investigation and facilitate negotiation and settlement of assigned claims. Ensures assigned claims are handled in accordance with Company policies and concluded promptly, equitably and economically as appropriate to the damage and the provisions of the insurance contract and in accordance with applicable law. As a member of the claims call center, is also responsible for assisting and directing callers to the appropriate party regardless of the department involved. Since this is an entry level claim handling position, the incumbent works with minimal authority under direct supervision.
*1. Attends and must successfully complete First Notice of Loss training program, together with any other programs of study selected for the employee’s training.
*2. Participates in and must successfully complete selected Pictorial Courses and other selected self-study courses during a defined period of time usually not to exceed 90 days.
*3. The First Notice Adjuster Trainee must maintain a passing average in all formal courses that have been developed for the individual. An acceptable level of competencies pertaining to the position must be maintained. Formal Performance Evaluations must result in a score of ‘1.75’ or higher.
*4. Must begin to prepare for any State Licensing exams required to fulfill licensing requirements in the states to be handled. If the state has required time period to secure license, employee must be in compliance within that stated time period. Must obtain and maintain license(s).
*5. The First Notice Adjuster Trainee handles a controlled number of losses assigned under the supervision of his/her supervisor.
*6. Answers in-coming calls or obtains loss information via telephone, mail or email. Begins documentation of the loss after determining that the claim has not previously been reported. Transfer calls to other departments when appropriate.
*7. Locates policy and coverage information. Enters loss information into appropriate system, regardless of whether insured or coverage information is found or if coverage exists.
*8. Asks probing follow-up questions, as appropriate, to ensure understanding of the report and documents appropriately. Follows specific procedures to record the loss using all necessary systems.
*9. Provides prompt, friendly, courteous, accurate and helpful service including information about the claim handling process, claim number and general information questions.
*10. Performs investigation, evaluation and disposition of claims within a predetermined individual settlement authority level. Makes investigative reports promptly to the file with clear and concise file documentation.
*11. Determines damages and facilitates the final disposition of claims through the use of authorized appraisers and via direct telephone contact with involved parties. Utilizes sound investigation principles. Ensures procurement and/or completion of all forms needed to protect the Company and the insured as applicable.
*12. With the guidance of the Supervisor, determines liability using sound judgment and analysis of available facts.
*13. Answers correspondence received in conjunction with the claim in accordance with state guidelines. Returns phone calls within Best Practices guidelines. Must communicate effectively both in writing and orally.
*14. Maintains diary for claim files to ensure prompt response from staff and independent appraisers in conformance with our flat rate fee agreement and other processes.
*15. Performs work according to Company and State guidelines, applicable law and Fair Claim Practices Act.
*16. Identifies Subrogation, Salvage and SIU opportunities quickly. Follows Company procedures to notify appropriate Company personnel of the loss as needed.
*17. Must have regular and predictable attendance.
18. Performs all other duties as required.
SPECIALIZED KNOWLEDGE AND/OR SKILL REQUIREMENTS:
1. Minimum of one (1) year full time work experience in a position requiring the use of analytical skills, customer service and good judgement in a fast paced environment.
2. Must have good computer skills. Typing skills of 25 WPM or 3,000 KSH with 95% accuracy.
3. Must have good planning and organizing skills.
4. Must have excellent written and oral communication skills. Some positions may require specific bilingual skills.
5. Must have ability to deal with conflict in a professional manner.
