Abbott Rapid Diagnostics GmbH in Cologne is looking for an Executive assistant (m/f/d)

Main responsibilities:

  • Support GM and Leadership Team Cardiometabolic International with executive assistant support 
  • Support and work in assigned IM markets projects
  • Strong support in preparing presentation and internal communications in close collaboration with GM IM as well as collecting and consolidating data across multiple countries and functions as requested
  • Manage and follow up on actions assigned to IM members including monitoring deadlines, and completeness of deliverables using authorized Abbott´s cloud based systems and technologies (e.g. Smart Sheet, MS Teams and others) 
  • Co-ordinate IM leadership team and other requested meetings, agendas, participants, updating and following up on to do list and coordinate logistics, appointments and travel schedules as needed and ensure Health & Safety requirements are implemented to ensure ongoing compliance
  • Book travel requirements, create comprehensive travel packs with itineraries for complex business trips, including international travel and visa requests and ensure alignment with Abbott travel policies and manage business expenses as required in line with corporate policy and deadlines
  • Take charge and lead in coordinating key visitor schedules such as HQ visits related to International Markets and arrange associated requirements, i.e. hotel, restaurants, entertainment, travel, printing, general enquiries etc.
  • Working cross- functionally with multiple international ARDx and Abbott functions as required
  • Keeps shared information confidential and ensuring a professional image of the business at all time
  • Event Management in cooperation with Abbott assigned 3rd parties: arrange logistical aspects of conferences, hotel reservations, travel, catering and conference documentation, company/corporate events, entertainment.
  • As requested copy type, produce reports, and letters and document formatting and ensure documentation/storage according to Abbott/ARDx documentation standards
  • Process Purchase Order Requisition numbers and submit invoices to Accounts Payable as required

Requirements

  • English proficiency is a must
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office Suite (PowerPoint, Excel, Word is a must) which goes beyond formatting (e.g. content design, consolidation of information etc)
  • Time-management skills, with the ability to prioritize tasks and flexible - within the Abbott and local work time regulations –to adapt meetings and coordination tasks to international time zones (America, Europe, APAC)
  • Proven work experience as an Executive Assistant and/or Project assistant
  • Working experience in Medical Device, Life Science or Pharmaceutical Industry
  • Professional attitude and appearance
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Customer service attitude
