Job Description

The Store Services Scheduling Specialist is a crucial member of the Property Management team at Dollar Tree. This role is responsible for ensuring the pest preventative and sanitation services of Dollar Tree's portfolio of retail stores, including Dollar Tree, Dollar Tree Canada, and Family Dollar stores. The Specialist will oversee the scheduling of pest control services through third-party vendors. This position will work with business partners and vendors to ensure our stores receive appropriate services and maintain a high level of sanitation. The primary mission of this position is to coordinate and schedule services and program reviews across more than 16,000 stores.

Principal Duties and Responsibilities

  • Serve as the point of contact for the Reoccurring Services Program within a special projects team, collaborating with various stakeholders, including retail store leadership, third-party vendors, and other Dollar Tree departments. Utilize corporate work order information systems and analytical tools to coordinate efforts effectively.
  • Develop and maintain a dynamic and prioritized list of service needs. Create and assign work orders to execute scheduled services.
  • Compare urgent repair actions with scheduled services against the annual financial plan (budget) to support forecasts and preventative maintenance performance.
  • Verify vendor capabilities to perform t services and recommend vendor assignments for scheduled services. Manage vendor business relationships with a focus on preventive maintenance and sanitation.
  • Track, manage, and approve proposals for significant work identified during urgent repairs, maintenance, and remediation. Make recommendations for escalated remediation programs based on analysis when appropriate.
  • Provide maintenance records and resolve maintenance-related questions and disputes with landlords in accordance with lease terms.
  • Approve expenses within the designated authority level and make recommendations for approving expenses beyond the authority level.
  • Communicate clearly and effectively, often on behalf of the Manager, Reoccurring Services.
  • Demonstrate a high level of organization to manage multiple work streams and interpret regulatory guidance and complex situations.
  • Respond to business requirements with schedule flexibility, including availability on holidays and weekends if necessary.

Minimum Requirements/Qualifications

  • Proficiency in MS Excel, MS Word, internet applications, and experience working with databases.
  • Strong interpersonal skills and the ability to work and collaborate effectively with teams.
  • Excellent customer service and problem-solving skills.
  • Strong verbal and written communication skills.

Desired Qualifications

  • Associate's degree or equivalent experience with a focus on data management.
  • Experience in property management or facility management.
