Executive Administrative Assistant, Corporate - Tax Department
Location: 6555 North State Highway, Irving Texas
Monday to Friday, 9am-5pm (or, an 8am start time)

The McKesson Corporate Tax Department is looking for a bright and engaging professional Executive Assistant. This role will support 4-6 executive level professionals. The role encompasses a variety of rewarding responsibilities including supporting tax professionals in various tax groups, assisting with tax / finance projects, and maintaining multiple busy calendars and schedules. An exceptionally organized and resourceful team player who remains calm under pressure will excel in this fast-paced role.
Responsibilities:
- Manage multiple calendars and schedules; coordinate meetings and video/teleconferences; manage and coordinate domestic and international travel for executive leadership
- Draft and review: power point presentations, meeting materials, responses to jurisdictional notices
- Liaise between Tax Leaders, multiple levels of staff, business units and clients
- Organize flow of work, prioritize tasks and activities, and ensure administrative functions are performed in a timely and effective manner, e.g. processing certified mail, invoice processing and tracking, presentation prep, coordinate travel, manage and process p-card expenses
- Manage, upload, and coordinate Master Service Agreements, SOWs, Change-Orders, P.O.’s, invoice approval and processing, and expense reporting through various McKesson systems such as Ariba, Beeline, and Concur
- Reconcile tax payments with SAP for FED, STATE, S&U, Audit, Property and UCP
- Manage and coordinate the annual corporate tax conference, from start to finish. Includes anticipating needs for all support presentation materials and technology requirements while maintaining control of the conference budget. Coordinate various department events, e.g., recognition and holiday department events
- Maintain tax department organizational chart and e-mail distribution lists
- Manage, filter, distribute and redirect incoming/outgoing department mail, email, and phone calls; answer questions and provide information to ensure effective use of management’s time
- Provide support with all aspects of new hire onboarding
- Manage and maintain department tax files, supplies, equipment, meeting/conference requests and contact lists
- Assist with audit documentation, tax returns, and internal document preparation
- Assist with preparation of tax mailings including check remittances, creating reports, and presentations, graphic software, and/or database applications
- Maintain and update various, unrelated tax remittance tracking systems
- Perform initial investigation into jurisdictional notices / inquiries and draft initial response
- Assistance with the administration of Unclaimed Property due diligence letters and responses
- Acts as information source on organization policies and procedures
- Update office policies and procedures
- May be assigned in various functional areas of the department
- Other administrative duties and projects, as they become known
Minimum Qualifications
- Typically requires 5+ years of related experience
Additional Qualifications
- A minimum of 5+ years of administrative experience with direct experience in a corporate tax environment that has supported multiple executives
- Advanced PC skills to include MS Outlook, MS Word, SAP, PowerPoint, Excel, Visio, MS 360
- Demonstrated proficiency with calendar management, arranging travel and submitting expenses on behalf of executives
- Experience with basic accounting and corporate tax (invoicing, reconciliation, working with vendors)
- High level of personal integrity; trustworthy, polished and well-organized
- Exceptional and effective communication skills (verbal and written)
- Extensive event planning experience with ability to manage all aspects of a global conference and other events
- Ability to prioritize workload and work autonomously
- Poised under pressure with ability to multitask, respond, and prioritize in a fast-paced deadline driven environment
- Outstanding interpersonal skills with ability to interact with multiple departments on all levels of staff and management
- Strong project management and organizational skills
- Positive and professional demeanor with strong work ethic
- Exercises discretion regarding confidential information
- Willingness to pitch in to assist other administrative assistants when required
- Notary Public or willingness to become a Notary Public
