Position Summary

This position provides the main reception and clerical support for the law school administrative suite, which includes several important operational departments in addition to the Dean’s office. The Administration Suite Support Specialist communicates in a professional, responsive, and business-like manner while managing a wide variety of services related to the smooth and effective functioning of the administration suite, and the law school generally. This position is responsible for greeting internal customers, campus partners, and external dignitaries, providing key information to the public and community, assisting visitors, securing the suite each evening, and answering the law school’s main incoming phone line. In addition to this core in-person function, the position also serves as the primary support for school directories, faculty/staff listservs, parking permits, and internal fundraising drives. This position provides direct administrative, calendaring, event, and project support to operations and human resources areas.

This is a full-time (1.0 FTE) position that directly reports to and assists the Associate Director of Human Resources & Administrative Services.

Minimum Requirements

  • Two years of general clerical experience, one year of which included typing, word processing, or other experience generating documents;

OR

  • An Associate's degree in Office Occupations or Office Technology;

OR

  • Graduation from a private school of business with a Certificate in Office Occupations or Office Technology and one year of general clerical experience.

College courses in Office Occupations or Office Technology will substitute for the required experience on a year-for-year basis.

Professional Competencies

  • Demonstrated ability to 1) work effectively with students, staff, and faculty from culturally diverse backgrounds and with multiple intersectional identities; and 2) advance diversity, equity, and inclusion in the university community.
  • Proficiency with word-processing, spreadsheet, database computer applications, and the ability to learn new programs.
  • Strong customer service, effective communication skills, and the ability to manage a variety of confidential information.
  • Demonstrated strong organizational, administrative, and interpersonal skills that indicate the ability to work as part of a team or independently.
  • Demonstrated knowledge of data integrity, integration, and reporting.

Preferred Qualifications

  • Experience in a higher education setting.
  • Notary certification or the ability and willingness to achieve notary certification within the first 3 months on the job.
  • Experience with Banner and/or Concur or a similar travel expense or financial management system.
