Job Description

Boston University Sargent College of Health & Rehabilitation Sciences is one of the country’s leading schools of health and rehabilitation sciences. The Assistant Director, Finance & Administration (AD-FA) is a key member of the Finance & Administration team reporting to the Director, Finance & Administration and providing support services and financial analysis to the college’s academic departments, research centers, outpatient clinics, and entrepreneurial units as well as to college leadership to manage the overall $40 million budget for the college and efficient financial operations. The AD-FA manages the college’s accounting for a large portfolio of designated, gift, and spendable endowment accounts and works with multiple stakeholders, including deans, department chairs, program directors and PIs to ensure that funds are used in accordance with the terms for each account. The role actively collaborates with the Director, Finance & Administration to analyze data to accurately make financial projections for complex financial reporting including quarterly confirmation reports, budget development submissions, and, importantly, fiscal year close. This position serves as the main contact for Sargent College faculty and staff managing day-to-day business operations involving work across all central F&A units in the University, including procurement, accounts payable, travel and cashier services. The AD-FA ensures proper procedures and compliance with all University financial policies and regulations are adhered to by all college units. They have oversight responsibility to ensure compliance with university and federal policies and procedures. The Assistant Director communicates and collaborates regularly with research faculty and PIs to ensure the timely administration of all PhD stipends for the college including review of sponsored and non-sponsored accounts, and to assign and distribute sponsored research IDC among PIs on an annual basis. The Assistant Director is also responsible for developing, creating, and updating original Power BI dashboards and reports that track and monitor $1.8 million of PhD stipends for the dean’s office, the program directors, and individual PIs. The role also makes meaningful contributions to the college’s broad portfolio of human resource operations, in collaboration with the Director, F&A, and Associate Director for Human Resources, and specifically manages employment visas for faculty and staff at the college, our contract and payroll for overseas employees with Safeguard, student employment, and takes the lead on annual salary and merit adjustments for academic research staff. The AD-FA serves as primary DSA on behalf of Sargent College.

Essential Functions:

  • Financial Analysis and Budgeting: In concert with the Director, Finance & Administration, and other college management team members, conduct a broad range of analysis for decision making purposes that have material financial implications including support for quarterly closes, budget development, and fiscal year close. Identify and recommend potential cost and operational efficiencies for executive leadership. Support Dean’s office with year-end projections and fiscal year close for the base budget involving close communication with all department managers, clinic staff, as well as central units, such as Payroll, Procurement, Travel Services, and AP. Participate in Sargent data analytics and reporting group to develop Power BI reporting metrics for financial analysis and to provide data-driven decision making. Manage internal research awards and support faculty, postdoc, and student awardees with financial procedures. Provide financial administration to deliver Dean’s awards, student awards, tracking commitments, salary support, monitoring budgets. Allocate indirect cost recovery to all Principal Investigators (PI) and academic departments on annual basis. The Assistant Director will also work closely with Sargent Choice Nutrition Center to manage a diverse portfolio of salary support for their staff from various stakeholders across the university, including Auxiliary Services, Human Resources, Athletic Training Services, the Department of Health Sciences, Summer Term, among others to ensure appropriate and timely salary support for the team of eight professional staff.
  • Human Resources Operations: Contribute to the college’s human resources and workforce operations in several key areas involving rigorous compliance, independent judgement, and risk mitigation. Manage visa applications for foreign nationals seeking work authorization, ensuring adherence to all ISSO policies and federal immigration guidance, including J-1 scholar visas, H1-Bs, and application for employment-based U.S. permanent residence for faculty. Provide training and administrative support with the college’s payroll administrator on all student employment procedures and offer coverage for the college to verify I-9s for new student employees for the dean’s office. Manage the college’s work with Safeguard International for any employees that are currently working overseas, particularly those that are supported on federal and industry grants. Work collaboratively with the Associate Director for Human Resources to provide financial modeling and analyses to support the annual merit processes for faculty and staff, including equity analyses. Serve as back up to the Director for payroll actions and approvals in SAP during any planned absences.
  • Designated and Restricted Fund Management: Maintain, analyze, and make timely and accurate projections the designated, gift, and endowment accounts. Monitor all activity including income, expenses, transfers in/out, journal entries, and balances within designated and restricted accounts. Research and resolve discrepancies and variances and confirm transactions for their appropriateness with fund terms. Conduct analysis and provide recommendations as needed to college leadership and other stakeholders.
  • College-wide Procurement & Financial Controls: Process financial transactions, including journal entries, purchase requisitions, and expense reports. Manage record retention. Oversee petty cash funds, controls, and cash deposits for the college. Ensure compliance with BU financial and operational policies. Approve p-card purchases, review expense reports, and manage card application processes. Provide internal training on Purchasing procedures, travel reimbursements, and financial reporting to faculty and/or staff.
  • PhD Student Stipends: Oversee and allocate PhD stipends. Coordinate with Program Directors and mentors to collect funding information and ensure all PhD stipends are processed accurately in a timely manner. Monitor and project budget and expenses on unrestricted budget and restricted accounts while ensuring compliance with individual agency requirements for federal grants. Conduct analysis and provide recommendations for restricted funding sources. Management of both service (SEO) & non-service stipends (SAP)

Required Skills

  • BA/BS required.
  • 5-8 years’ experience required.
  • Strong financial and accounting with prior experience managing restricted fund and sponsored research fund types. 
  • Excellent attention to detail with a service-oriented approach.
  • Excellent verbal and written communication skills with a proven ability to work with internal and external stakeholders, including faculty, administrators, and central administrative offices, and the ability to handle confidential information with discretion.
  • A collaborative work approach with the ability to handle sensitive and confidential situations with discretion.
  • Demonstrated knowledge of standard accounting principles. Facility with data analysis. Comfort using quality data to help guide decision-making.
  • Excellent judgement to ensure compliance with established university F&A procedures and policies.
  • Ability to interpret federal guidance regarding immigration visa to support applications and extensions for academic and employment purposes.
  • Ability to work towards and meet multiple deadlines and to prioritize between competing tasks and projects.
  • Ability to initiate, assess, follow through, monitor, and evaluate a complex set of activities and issues.
  • Intermediate or advanced Excel skills required.
  • Experience working in SAP and BU business systems preferred.
