Job Description

We are looking for a Senior Executive Assistant to support the head of our Catalyst EMEA team. Catalyst is the driving force behind Concentrix’s experience design and engineering capabilities, where cutting-edge technology is merged with a deep understanding of human needs to create a tech-powered total experience. Based out of our fantastic West End offices, the Senior Executive Assistant provides professional and confidential administrative and support services and will be vital in supporting the growth and transformation of the Catalyst Senior Leadership Team by assisting in executive meetings, preparing presentations and reports and helping to coordinate communication between departments in an organised manner.

WHAT YOU WILL BE DOING

  • Proactively managing complex agendas, arranging both internal and external meetings
  • Managing domestic and international travel
  • Organising top management meetings including issuing agendas, taking and publishing minutes in a timely manner, and following up on key actions
  • Co-ordinating and supporting external event(s) as required
  • Collaborating with and supporting other Executive Assistants and Senior Management team
  • Supporting the preparation and set up of meetings including all catering and technology requirements, virtual or otherwise
  • Supporting client requirements as and when requested to ensure the client relationships are maintained
  • Creating presentations and other management packs for senior meetings
  • Proactively identify opportunities to enhance the administrative support activities
  • Where applicable provide support in the oversight of reception and the travel system and requirements as required
  • Responsible for day to day activity of the Receptionist on site as a direct report.

WHAT WE ARE LOOKING FOR

  • Full fluency in English
  • French - working knowledge advantageous but not essential
  • Minimum 5 years of experience as an Executive Assistant in a large organisation
  • Excellent communication and interpersonal skills dealing with the confidence to deal with executive level audiences across the CNX business in a highly professional manner
  • Skills and experience in working in a multi-cultural global business context
  • Ability to multi-task in a highly dynamic and fast-paced organisation,
  • Pro-active and entrepreneurial approach hence, taking the initiative to support the business needs
  • Experience in working with and building relationships with third-party organisations such as travel companies, event companies; analyst organisations, etc.
  • Skills and experience and proficient in all aspects of Microsoft tools including Microsoft Teams; Office 365, Outlook, Excel, Word, PowerPoint, and all forms of social media to aid communications
  • Experience of working with Big Five (or Six) consulting firms of the like – so akin to a highly dynamic environment working with senior executives
  • Ability to set-up professional meetings, including agenda formulation in consultation with the meeting leader and location of meeting assembly whether virtual or in-person
  • Ability to attend, take and transcribe minutes relevant to the meeting and matters arising such as key actions and compiling into trackers to drive momentum across the Group Sales, Client and Marketing functions from the board and other senior executive meetings
  • A great attention to detail and strong written and numerical skills
  • Commercial awareness and good analytical skills
  • Flexibility to travel and support remotely if required preferred
  • Ability to work to tight timescales and achieve strong outcomes even when under pressure
  • Highly flexible and able to support working extended hours where needed

Please note this is an onsite Role in the London Office – W1F 7JL ( 4 Days on Site, 1 Day from home )
