Description Overview

Perrigo People Solutions team have an exciting opportunity for a HR Coordinator to join our Employee Lifecycle Services team. Based in Warsaw, Poland you will be part of our team of HR Rockstars who have a mission of supporting and delivering HR services to bring value to the organisation, while driving efficiency, effectiveness, and delivering a superior employee experience.

You will be responsible for delivering high impact HR services to Perrigo employees in Poland enabling them to be at their best by providing excellent support and timely resolution to all their HR related requests and administering all activities related to employee lifecycle processes, from Hire to Exit, ensuring they are consistently completed accurately, on time, in full compliance with defined standards and procedures, and to full stakeholder satisfaction.

At the moment, we offer a hybrid working pattern with a requirement to be onsite 3 days per week.

Scope of the Role

Key responsibilities will include (but will not be limited to):

  • Be the first point of contact for a broad range of HR queries 
  • Administer a busy service request queue, supporting the triage and assignment of queries
  • Manage support requests raised by Perrigo employees, managers and HR colleagues, through to resolution or escalation
  • Provide guidance to users on the use of our HR system (Success Factors) and HR Library to help them find information and process/submit requests electronically
  • Process HR transactions, ensuring accuracy of data 
  • Ensure agreed service levels are met and issues are resolved in a timely manner, further escalating to the relevant specialist teams when required, in line with the People Solutions escalation process
  • Administer end-to-end lifecycle cases (e.g. Onboarding, compensation changes, letter generation, offboarding, etc.) leveraging People Solutions Standard Operating Procedures to provide superior employee, manager and candidate experience
  • Maintain employees’ information in SuccessFactors and associated local and global HR & Payroll systems ensuring it is up to date, accurate and complies with GDPR/Data privacy & protection regulations, legal compliance and Perrigo standards.
  • Share relevant data updates with other internal & external parties as defined in our People Solutions Standard Operating Procedures and Work Instructions
  • Administer leave of absence requests (maternity, paternity, adoption, parental leave, etc.) ensuring all necessary details are appropriately recorded in SuccessFactors, other HR systems as needed as well as transmitted to payroll teams to ensure accurate payroll processing
  • Monitor & report on key data/dates over the lifecycle of employees, flagging any required actions (immigration, probation, etc.)
  • Maintain employee files (electronic & physical files), regularly archiving and flagging documents that require purging in line with standards and regulations
  • Actively participate in huddles and meetings, facilitating the sessions in-turn, monitoring and reporting on KPIs, raising issues for escalation and/or follow up with Team Leads and/or Specialists where appropriate
  • Proactively ensure all self-service information and guidance on all of our employee lifecycle processes, is up to date, relevant and accessible to all Employees and People Managers
  • Ensure a positive experience for all Employees and People Managers, even when processes and situations are challenging ones, by maintaining respect for individuals and delivering excellent customer service at all times. 
  • Build relationships with end-users and stakeholders, understanding their needs and actively seeking their feedback. Follow up on their feedback and translate into concrete actions to improve performance and employee experience
  • Foster a culture of service excellence with your colleagues, role-modelling this and coaching other peers to deliver true best in class services to all

Projects & Continuous Improvement

  • Own your own workload, identifying trends and undertaking improvement actions
  • Proactively use problem solving skills to identify and help resolve data errors, issues and escalations. 
  • Follow up with relevant owners to ensure process & knowledge documentation are up-dated to reflect any agreed changes.
  • Proactively lead / contribute to a variety of initiatives and projects aimed at improving the quality and timeliness of our services, as well as improving employee experience
  • Support provision of training to end-users & key stakeholders on People Solutions processes
  • Assist in testing upgrades and new system functionality as needed 
  • Other duties as assigned

Experience Required

Service Delivery 

  • Highly organised, with a demonstrated attention to detail and ability to handle multiple tasks, prioritise, meet deadlines and maintain high quality work 
  • Strong analytical & problem solving skills, process oriented
  • Experience of working in a multi-national, multi-lingual and culturally diverse environment, both locally and remotely serviced 
  • Previous experience working in shared services desirable 
  • Previous experience with case management solutions desirable

Technology Enablement 

  • Efficient use of MS office and other key business tools;
  • Word to produce mail merges, letters, contracts etc. 
  • Outlook to apply rules and manage folders, scheduling and diaries, build standardised templates 
  • Excel including Fx functions, pivots, charts, data analysis and presentation into day to day work.
  • PowerPoint for effective presentation of data including graphs and charts.
  • Sharepoint to upload shared materials and share and engage with projects and other functions
  • Previous experience with SAP Successfactors would be a significant advantage

Legal / Regulatory 

  • Awareness of relevant employment law and local regulations.
  • Awareness of data privacy laws including GDPR.

Development of self and others

  • Comfortable ensuring all stakeholders are fully trained on correct employee lifecycle process requirements to ensure a 'right first time' way of working.

  • Comfortable giving feedback to individuals and small groups where necessary to ensure processes continue to be effective and efficient
  • Able to proactively use problem solving skills to help resolve data errors and issues and ensure knowledge is shared with stakeholders and colleagues within the wider Employee lifecycle section

Language and communication 

  • Fluency in Polish 
  • Proficiency in one or more additional foreign language would be a significant advantage (in particular Ukranian, French, German, Dutch) 
  • High level of English language proficiency as this is Perrigo's most widely spoken language.
  • Excellent interpersonal and collaboration skills required to work with all levels of business leadership, business users and functional teams
  • Confidently able to successfully deliver services and have high quality interactions with Business Partners and Customer groups 
  • Able to select the most appropriate method of communication to any given situation and tailor approach accordingly to ensure the most receptive audience and the best likelihood of influence and success.

Qualifications/Experience 

  • HR Qualification or equivalent
  • Previous experience as an HR Coordinator or similar role
