The Florida Department of Health (DOH) is responsible for the health and safety of all citizens and visitors to the state. As a public health agency, the Florida Department of Health must monitor the health status of Floridians, diagnose, and investigate health problems, and mobilize local communities to address health-related issues. The Florida Department of Health develops policies and plans that support health goals, enforce laws and regulations that protect the health of all residents and visitors, and link people to needed health care services. The Florida Department of Health also provides specialized assistance to pregnant women, infants, and children with special health care needs, regulates health care practitioners, and provides medical disability determinations.

Title of Position: Administrative Assistant I

Your Specific Responsibilities:

This is a professional, responsible and dependable position providing administrative support to our Public Health Infrastructure Grant team. The Administrative Assistant I should demonstrate attention to detail, have strong oral and verbal communication skills, excellent customer service skills and proficiency in Microsoft Office products (Outlook, Word, Excel, and PowerPoint) and MS SharePoint. The primary functions include providing administrative office support, scheduling meetings, purchasing & supply inventory and operational assurance. This position requires considerable independence and responsibility and a high degree of initiative. Applicant must demonstrate a detail-oriented focus and the ability to work in a high paced multitasking environment.

Responsibilities include:

  • Manages all aspects of the team’s calendars, including scheduling meetings, resolving conflicts, and independently keeping the Workforce Development Director on time and prepared for all meetings.
  • Provides courteous and efficient customer service to all in person, by email and over the phone.
  • Answers and routes telephone calls to the appropriate person
  • Submits purchase requisitions in My Florida MarketPlace (MFMP) and purchases supplies utilizing the state purchasing card.
  • Schedules meetings, conference calls, coordinates agendas and associated logistics as directed.
  • Submits work orders for maintenance and repair, to include facilities, computer, telephone and housekeeping issues.
  • Takes minutes at meetings and prepares minutes in final form for distribution.
  • Prepares requests to incur travel expenses and travel reimbursements.
  • Performs other related duties as required.

Required Knowledge, Skills, and Abilities:

  • Knowledge of the principles and techniques of effective communication.
  • Knowledge of office procedures and practices.
  • Knowledge of Microsoft Office applications (Outlook, Word, Excel, PowerPoint, Access, SharePoint) and News Manager.
  • Knowledge of FDOH purchasing policies, rules, and regulations
  • Skill in organization and coordination of an executive office operation.
  • Skills with interpersonal communications to work effectively with all levels of staff.
  • Skill in applying general rules, policies, and procedures to specific work situations.
  • Skill in providing exceptional customer service skills.
  • Skill in data entry and organization of work duties.
  • Ability to provide strong written and verbal communications.
  • Ability to establish and maintain effective working relationships with others.

Qualifications:

Minimum -

  • 3 years of customer service experience in a fast-paced environment
  • 3 years of experience as an administrative assistant or in a similar role providing office administrative support (e.g., purchasing, preparing agendas/correspondences, transcribing minutes)
  • 2 years of experience using Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • 2 years of data entry experience

Preferred

  • 2 years of experience in My Florida Marketplace (MFMP)
