The Sample Coordinator supports the Buying, Merchandising, Ecommerce, and Marketing Departments by processing and tracking all product samples from start to finish as they move from receivables through interdepartmental transfer. The Sample Coordinator is responsible for ensuring all product samples meet all of prerequisites for ecommerce and marketing campaigns. This position is also responsible for managing the procurement, preparation, and flow of merchandise samples throughout our photo studio.

Essential Duties and Responsibilities

  • Document and maintain a tracking system of all incoming and outgoing samples, branded and non-branded, utilizing Microsoft Excel and Google Docs
  • Tag all samples prior to distribution, log the delivery date and BB style code, ensuring all documentation is accurate
  • Categorize samples according to campaign type and season.
  • Liaise with cross-functional teams and third-party vendors regarding purchase orders and sample deliveries, ensuring all samples arrive in a timely manner.
  • Communicate with internal and external teams regarding delivery dates, discontinuations, late arrivals, and discrepancies.
  • Responsible for weekly buyer communications and reports. Keep buyers apprised of changes and update systems accordingly.
  • Lead the sample request process by confirming all required samples are delivered to ISS and marketing for print and digital, onsite and offsite photo shoots and ensuring all deliverables are returned and accounted for.
  • Ship duplicate samples, discontinuations, discrepancies back to the appropriate vendor
  • Partner with vendors to acquire any outstanding samples and communicate deliverables to the Buying Department.
  • Identify end of season samples that either need to be sent back to vendors or placed in sample sale on a quarterly basis.
