Management Assistent

Within our Animal Health site is the department Bio Technology Solutions (BTS). BTS drives and executes Bioprocess technology excellence in close alignment with their partners in R&D and Manufacturing in order to ensure robust product introductions, product transfers and a reliable product supply to customers. BTS has considerable expertise in viral cell culture, bacterial fermentation, downstream processing, purification, freeze drying and vaccine formulation. BTS is responsible for seed development, new product process development and commercialization of our animal health large vaccine pipeline. The BTS team in Boxmeer consist of approximately 60 employees divided in various groups.

The role

As Management Assistant you the execution and realization of the strategic priorities across the division including efforts related to Organization Design, Succession Planning.

Given the nature of the role strong ethics and integrity is required. You collaborate with leaders to support objectives linked to the strategy. Administrative support is an important component in this role and you are comfortable with a divers range of challenges.

With your drive and purpose, you will support the execution of divisional priorities and decisions across the integrated network.

Main tasks

Key focus areas for the role, but not limited to these, are:

  • Support programs, processes and projects to ensure they are planned, executed and supported efficiently;
  • Work within the Senior Leadership Team on implementation and realization of plans across MMD end to end network;
  • Work with the Senior Leadership Team to drive, follow up, execute on divisional priorities and change management; at time may work independently with Leadership Team members;
  • Ensure effective communication to Teams; prepare presentations and key verbal messages;
  • Organize, document and facilitate Meetings;
  • Work with Communications to ensure, that messages reflect the current thinking of the eadership Team and are appropriate for the given audience;
  • Mainly drive and facilitate Budget process;
  • Track monthly operational view through data sources such as budget, headcount, market demographic, etc.;
  • Monthly HC dashboard check, substract overview for BTS including maintenance of BTS Org chart & on-boarding/off-boarding activities for new team members
  • Provide administrative and documentation support for local employees, e.g.
  • Financial transactions support (purchase orders, Accruals, Invoicing),
  • Manage distribution list and departmental shares
  • Maintain Reporting Tools, incl. MEDS and Alexx, WIA (Work Instruction Administrator) task MEDS
  • Travel booking activities/support
  • MyLearning Administrator task
  • Departmental GLP/GMP tasks (administrative)

Experience and skills

  • 5 years experience in manufacturing environment (Operations, Quality and or Technology);
  • Excellent communication and organizational skills;
  • Global experience;
  • Excellent command of the Dutch and English language;
  • High level understanding of the link between the end-to-end business of research, manufacturing and commercial organization;
  • Strong business acumen;
  • Willingness to speak up
  • Ability to make decisions and to manage multiple competing demands/priorities;
  • Advanced PowerPoint and Excel skills;
  • Ability to work in confidential space;
  • Ability to function in dynamic or uncertain situations.
