We are seeking a highly organized, efficient and energetic Executive Recruiting Coordinator for a 6 month contract position to help us strategically grow our world-class team in San Francisco. The role will support the Executive Recruiters and Researchers with the objective of successfully coordinating high-volume and fast-paced interview activity on the Executive Recruitment team. We are looking for someone to help us work cross-functionally to be the first impression of Lyft for all visitors that come through our doors.

This role will be in-office on a hybrid schedule — Contractors will be expected to work in the office 3 days per week on Mondays, Thursdays and a team-specific third day.

The Executive Recruiting Coordinator (ERC) supports a high-visibility and high-priority pipeline of executive searches and candidates and partners with the internal executive recruiting team (Program Manager, Recruiters, Researchers) to execute the search process, process optimization, project delivery and related search events.

Responsibilities:

  • Act as a key point of contact/go-to person for candidates and the team regarding candidate processes and interviews.
  • Partner with Recruiters, Researchers and Executive Business Partners (EBPs) supporting searches by driving coordination and managing interview processes administratively end-to-end.
  • Interview Set-Up & Management:
  • Manage complex calendar operations and meeting coordination. Book executive candidate travel arrangements when required.
  • Host executive candidates onsite (with support from recruiters), make sure everyone is in the right place at the right time and ensure that candidates have an excellent onsite experience (drive candidate interview greets, walkouts, and breaks).
  • Set up and attend pre-brief meetings and debriefs, schedule and send search-related correspondence with candidates and hiring partners.
  • Maintain strong action-orientation and availability to handle changes, emergency interview-related issues and search updates during business and non-business hours as needed by the internal team and candidates.
  • Communications:
  • Keep relevant stakeholders informed, refine communications and make sure that key executive search related information is properly filtered throughout the team.
  • Identify gaps in communication and identify, escalate issues as needed. ○ Maintain the highest level of confidentiality and integrity when working with candidates and hiring partners.
  • Maintain awareness of executive recruiting team roles and responsibilities and the recruiting process to differentiate tasks that recruiters should handle vs the ERC role in an effort to ensure the most appropriate and timely response and make related recommendations.
  • Communicate professionally (tactfully and accurately), proactively and quickly with candidates, internal hiring partners, recruiters and EBPs, finding a balance between speed and accuracy. This role represents the executive recruiting team, leadership team and the Lyft brand with every touchpoint.
  • Help prepare presentation materials and briefs for team and search update meetings.
  • Help prepare data and reports for distribution across the team and to senior executives.
  • Process Improvement:
  • Create role-specific organizational methods and operational documentation and take meeting notes for follow up and action items.
  • Think critically and holistically about the executive recruiting process - identify opportunities for improvement and propose, develop and drive process creation / changes and systems/tools to positively support the executive recruiting team and candidate experience in moving more quickly, efficiently, accurately and successfully.
  • Constantly optimize the individual organizational systems and processes.

Experience & Skills:

  • Client-first mentality with demonstrated skills in providing a world-class experience for clients and customers
  • Ideally at least 4 years of relevant professional work experience with a client/customer focus, preferably day-to-day exposure to senior executives
  • Ideally have experience in a large company setting with layered management, complex team structure and multi-tiered approvals and communications systems
  • Experience with and preference for managing a multitude of tasks and priorities in a fast-paced environment amid frequent change
  • Adaptable, resourceful and calm under pressure in a high-stakes environment
  • Demonstrable track record of project-based experience and process implementation; exceptionally detail-oriented and organized, with a bias for action
  • Displays a proactive approach toward problem-solving; willing to jump into any high-priority project or task with a positive attitude
  • Excellent communication and collaboration skills within the team and cross-functionally

The expected base pay range for this position in the San Francisco area is $36.78 - $40.87. Hourly ranges are dependent on a variety of factors, including qualifications, experience and geographic location. Range is not inclusive of potential equity offering, bonus or benefits.
