The Career Development Center sets the standard in launching the lives of changemakers. We empower students and alumni to explore the intersection of their interests, values, beliefs, and talents in pursuing career paths that lead to personal and professional fulfillment. We provide an individualized approach to career development to help Toreros learn how to articulate the value of their liberal education and build the skills needed for post-graduate success. We create opportunities for students and alumni to connect with our vast network of employer and community partners, leading to the formation of life-changing career opportunities.

Reporting to the Associate Director of Employer Relations, the Employer Relations Coordinator is an integral member of the employer and alumni engagement team. The Coordinator is responsible for the implementation and logistics of key external engagement programs and initiatives designed to surface career pathways and opportunities for University of San Diego students and alumni.

The Coordinator provides comprehensive coordination of the Torero Trek Program - a hallmark program of the Career Development Center providing students the opportunity to gain direct exposure to a variety of industries and organizations. In collaboration with team members, the Coordinator oversees the maintenance and utilization of employer and alumni relations contact and management systems along with contributing to the design and implementation of employer engagement events and initiatives.

Duties and Responsibilities:

Torero Trek Coordination:

  • Coordinate and administer student application, selection, and orientation processes for the Torero Trek program.
  • Manage and coordinate logistics support for Treks including but not limited to coordinating transportation (flight/ground), hotel accommodations, catering, scholarship/funding opportunities for students.
  • Collaborate with career counselors and the marketing team to ensure effective promotion of Treks to students by equipping them with necessary information and/or directly sending communications as needed. 
  • Manage and execute communications to participating students, ensuring completion of required commitment tasks, meeting of deadlines, etc. 
  • Solve problems and manage day-of Trek questions from both students and staff, enforcing Trek policies with equity and fairness.
  • Support the Employer and Alumni Relations teams with researching potential Trek host sites based on student interest, alumni representation, and employer/alumni engagement priorities. 
  • Collaborate with the Employer Relations team to build and send out rosters and agendas for each Trek.

Employer Relations Systems Maintenance:

  • Coordinate and execute administration of the Handshake platform including: employer and job vetting, employer event creation and approval, maintenance of the labeling system used to manage employer contacts, running insight reports in collaboration with the Assessment and Counseling teams, and other systems maintenance tasks. 
  • Conduct and process systems administration of the TEAM (mentoring) platform as needed - including user approvals, job board approvals, running insight reports, fielding user inquiries, and other tasks as assigned. 
  • Assist with the prospecting outreach and efforts of the employer relations team to surface new employer partnerships to benefit USD students and alumni.
  • Utilize systems such as Salesforce to collaborate with the Communications and Assessment team on joint initiatives and projects.

Employer Programming Support and Relationship Management:

  • Support the Employer Relations team and other team members with logistical coordination for career fair and other employer related events including but not limited to: employer communications, registration, parking, room/space reservations, and day of event logistics.
  • Coordinate the logistics of On-Campus Interviews (OCI) including scheduling, room reservation/coordination, employer communication, and other tasks associated with OCI.
  • Manage and execute the logistics associated with hosting employers and alumni on-campus (or virtually) for programming events including but not limited to: panels, speaker series, tabling sessions, information sessions, and workshops.
  • Coordinate logistics for employer/alumni initiatives as developed by the employer relations team - including job shadow or other programs designed to facilitate touch-points between students and employers/alumni. As needed - directly collaborate with the Associate Director of Communications and Assessment and Associate Director & Career Counseling team (and their respective team members) to provide event coordination support with employer related programming in alignment with the priorities of the employer relations team
  • Respond to inquiries (phone/email/in-person) from employer and alumni partners
  • Collaborate with the Communications and Counseling teams to equip them with relevant employment and alumni data and information to elevate employer engagement and activity.
  • Assist with the vetting and approval process of external employer events on the Handshake platform.
  • Provide customer service and triage inquiries at the front desk (lobby area) of the Career Development Center as needed.

Job Requirements:

Minimum Qualifications:

  • Bachelor’s degree required
  • OR
  • Associate’s Degree + 1 year of experience in a related role such as career services, recruiting, employer relations, human resources, alumni relations, or similar field required.
  • High comfort level with technology, project management, and software systems.
  • Demonstrated ability to work independently and collaboratively on a team.
  • Demonstrated ability to manage several projects simultaneously and communicate status of those projects to multiple colleagues
  • Microsoft Office Suite (Outlook, Word, Excel)
  • Proficiency in various web-based, data entry, and database programs
  • Proven ability to manage multiple deadlines, multitask, and organize
  • Strong communication, both written and verbal
  • Evidence of strong follow-through and attention to detail

Preferred Qualifications:

  • Strong organizational and project management skills with the ability to manage multiple tasks and deadlines simultaneously 
  • Excellent interpersonal and communication skills
  • Proven ability to work collaboratively within a team to achieve shared goals and objectives.
  • Familiarity with database and tracking systems such as Handshake and Salesforce and/or an ability to learn these systems

Performance Expectations - Knowledge, Skills and Abilities:

  • Demonstrated problem solving and analytical skills
  • Ability to handle multiple tasks with frequent interruptions 
  • Ability to be self-directed
  • Strong attention to detail with inputting and managing information
  • Knowledge of MS Word, PowerPoint, and Excel
  • Strong customer service abilities in solving and/or triaging inquiries to the Career Development Center
  • Demonstrated ability to interact with employers
  • Excellent written and verbal communication skills and strong interpersonal skills
  • Ability to understand and appreciate the central role that recruiting holds in ensuring the success of USD students and of the Career Development Center
  • Strong ability to track and manage daily deadlines

Posting Salary:

$25.00 - $27.00 per hour; Excellent Benefits
