Role Overview 

The Marketing Operations Program Manager plays an integral role in Kasasa’s mission to enable a powerful network of community financial institutions. This key leader must seek out quality, efficiency, and effectiveness in how we scale our Kasasa and FIRSTBranch Marketing Operations programs in support of our clients and corporate goals. 

Program Management: As the leader interacting with the entirety of Marketing Operations, the Program Manager is expected to provide reporting on recurring metrics and emerging trends to Operations team leads, Marketing, and Product Managers. In addition, the Program Manager leads cross-functional initiatives to improve Marketing Operations processes, onboard new hires, facilitate retrospectives, and more. 

Support Queues: Our Marketing Operations support team is comprised of project managers, marketing and lending specialists, copywriters, designers, and front-end developers. When clients submit Kasasa and FIRSTBranch support requests to their specialists, the Program Manager ensures they are reviewed and completed in a timely manner. 

Creative Project Management: The Marketing Operations Program Manager acts as a liaison for the internal creative team regarding both large creative projects and simple creative requests. The Program Manager gathers requirements, sets expectations with stakeholders, gathers feedback/approvals, and facilitates printing/fulfillment. For larger projects, the Marketing Operations Program Manager may take on project management responsibilities (upon alignment with other executives) – building out and executing on the project plan and timeline. 

Product Roadmap: The FIRSTBranch Product Manager and Marketing Brand Managers partner with the Marketing Operations Program Manager on many of their initiatives. For FIRSTBranch, it may be planning out requirements for front end development of CMS features or gathering team feedback on the next round of functionality. For Marketing, they work closely to roll out new marketing programs to marketing specialists and designers or to develop supporting FIRSTBranch content for marketing programs. 

Connect: When Marketing builds new Kasasa-branded materials for clients, it must get built inside Connect – the marketing automation platform and digital asset repository that our clients access to select, customize, and download Kasasa-branded creative. The Program Manager works to prepare the creative files for Connect, ensuring they will meet design specs, customization requirements, and compliance best practices. 

Responsibilities 

  • Infuse the Patch Values into your work ethic, every day and in every interaction.
  • Partner closely with Marketing Operations Services, Creative Services, Marketing, and Product Management to ensure FIRSTBranch and Kasasa operations run efficiently and effectively, and product roadmaps can be executed successfully.
  • Manage the day-to-day activities of the Creative Services support queues/internal team, including receipt of requests, grooming, escalations, manager reviews, and follow-ups on requests in client review. 
  • Develop, maintain, and clearly communicate processes for initiating and managing work with the Creative Services support and internal teams. 
  • Maintain agreed-upon internal SLA’s for support requests, ensuring our clients’ complete satisfaction. 
  • Develop and execute on project plans and timelines for major internal creative projects, with guidance from Senior Director, as needed. 
  • Provide clear direction for the input of Kasasa creative assets into Connect, prepare the materials for support queue usage, and review all final materials for quality assurance. 
  • Ensure business can scale by constantly seeking ways to efficiently input creative into Connect to reduce volume of work submitted to support team or utilize new technologies to reduce effort on support requests. 
  • Provide reporting on a monthly basis to track success metrics and spot issues (cycle times, volume, resource hours, request types, escalations, etc.)
  • Create additional ad-hoc reporting to support business needs, showcase emerging trends, or facilitate team lead conversations. 
  • Consistently evaluate training needs of Marketing Operations Services and Creative Services, then facilitate the development of training materials. 
  • Support onboarding of new hires in Marketing Operations Services and Creative Services by proactively training team members on best practices. 

Qualifications 

  • Bachelor’s degree or equivalent experience
  • Minimum of 3 years in a role that participates in marketing operations projects/programs in a tech company or creative agency.
  • Breadth and depth in marketing projects – across in-person and virtual events, print, digital, fulfillment, video, website, etc. Experiencing gathering requirements, building timelines, executing, and closing out a plus. 
  • Comfort working with raw data to build reporting, plus using the reporting to discover insights and share with key partners.
  • Facilitation skills, including familiarity with running retrospectives and knowledge of multiple retrospective techniques, and comfort leading large teams through these exercises. 
  • Strong leadership, relationship management, and coaching skills with the ability to exercise influence cross-functionally.
  • Strong organization and communication skills with the ability to clearly articulate information to interdependent teams
  • Positive attitude and aptitude to work in an ever-changing, collaborative environment. 
  • Ability to focus on what is important and create a sense of urgency, successfully managing multiple priorities.
  • Passion for delivering excellent, high-quality, and effective marketing to clients. 
  • Experience working with Sharepoint or other similar cloud applications, building out content libraries and/or knowledgebase content. 
  • Experience in an Agile/Kanban environment using Jira. Scrum Master Certification a plus.

  • Sitting for extended periods of time; approximately 5-6 hours per day

  • Lifts and moves up to 20 pounds occasionally
