Org. Setting and Reporting

The United Nations Global Service Centre (UNGSC) provides critical Supply Chain, Geospatial, Information and Telecommunications Technologies services and Training to all Secretariat Entities, Peacekeeping and Special Political Missions, Agencies, Funds and Programmes of the UN system worldwide. The position is located in the Front Office of the Standing Police Capacity in UNGSC, Brindisi, Italy. The Administrative Assistant will report directly to the Special Assistant of the Chief SPC.

Responsibilities

Within delegated authority, the Administrative Assistant will be responsible for the following duties: Human Resources Management • Initiates, processes, monitors, reviews and follows-up on actions related to the administration of the unit’s human resource activities, e.g., recruitment, placement, relocation, promotion, performance appraisal, job classification reviews, separation, training etc., ensuring consistency in the application of regulations and procedures. • Enters, maintains and certifies administrative data and records for time and attendance, performance appraisal, etc. in electronic information systems. • Reviews entitlements-related claims and reports. • Provides advice and guidance to staff with respect to administrative procedures, processes and practices, liaising with central administrative services as necessary. • Maintains and reviews organizational staffing tables. Budget and Finance • Monitors status of expenditures, updates budget tables. • Reviews status of relevant expenditures and compares with approved budget. • Assists in the preparation of budget performance submissions. • Prepares statistical tables and standard financial reports. General Administration • Prepares, processes and follows-up on administrative arrangements and forms related to the official travel of staff. • Drafts routine correspondence. • Maintains files of rules, regulations, administrative instructions and other related documentation. • Maintains up-to-date work unit files. • Coordinates extensively with service units and liaises frequently with internal team members both at Headquarters and in the field. • Performs other related administrative duties, as required • Assists with the collection and analysis of data as well as preparation of data presentations and reports for information sharing, responding to queries, knowledge management, planning and decision making. • Assists with visualizations and updating information material such as web pages or brochures.

Education

High school diploma or equivalent is required.

Job - Specific Qualification

Successful completion of both degree and non-degree programs in data analytics , business analytics or data science programs is desirable.

Work Experience

A minimum of five (5) years of experience in the field of administration, finance, budget, accounting, audit, human resources or related area is required. The minimum years of relevant experience is reduced to three (3) years for candidates who possess a first-level university degree or higher Experience in the use of office software packages (e.g. MS Word, Excel, PowerPoint) is required. Experience working with an Enterprise Resource Planning (ERP) system, such as SAP (System Application and Products) is required . Experience working in the UN or similar other international organization is required. Experience providing administrative support to Front Office of senior officials is desirable. Experience in data analytics or related area is desirable. Experience in drafting official communication is desirable.

Languages

English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in oral and written English is required. Knowledge of French is desirable.

Assessment

Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.

Recruitment for this position is done on local basis. This position is open for recruitment for an initial period of one year with possibility of extension, subject to availability of funds.
