About This Role:

The College of Veterinary Medicine (CVM) is seeking applicants for an Events Director who will be responsible for the development and execution of all events hosted at the College level for the CVM, including several high-profile and annual events. This position coordinates all aspects of the events, evaluates their effectiveness and reports to the Dean and Assistant Dean to ensure the events implemented align with the College’s strategic event plan. Additionally, the Director is responsible for the management of best practices for event space usage. The Director serves as a vital member of the College and a resource within the College to ensure that all events deliver a high quality experience and add value to the College. The Director is responsible for hiring, training, and managing event staff and events volunteers. The Director also approves all events requested within the CVM by faculty, staff and students.

College Program and Event Management: Develop, plan, manage, execute, and evaluate a portfolio of special events.

  • Oversee the execution of all special events to ensure standards of quality and impact to align with CVM’s strategic plan.
  • Determine and manage the special events calendar to facilitate events strategically throughout the year.
  • Use project management skills to effectively map out and meet all deadlines, including but not limited to: calendaring, invitation preparation and distribution, programming preparation and execution, catering, vendor relationships, stakeholder briefings, volunteer management, RSVPs, payments, event inquiries, day-of event logistics and post-event follow-up and reporting.
  • Maximize outreach by collaborating appropriately with departments/agencies within the CVM, across the University and within the community/region.
  • Coordinate, train, mentor, support, and motivate event staff, student assistants and/or volunteers.
  • Manage the Events Unit and individual events budgets. Maintain and update best practices for budget tracking, analyze and evaluation of expenses. Identify key areas for improved financial management and better allocation of resources.
  • Develop vendor and partner relationships. Work closely with KSU, CVM, and external partners who provide event support such as catering, lodging, transportation and promotional items.
  • Independently negotiate contracts with outside vendors for events including food, venue, promotional items and speaker costs.
  • Track performance of each event. Proactively identify opportunities to improve or enhance existing programs and collaborate with appropriate departments/stakeholders to get them implemented.
  • Compile event data and generate event reports, for internal and external customers. Event portfolio includes but is not limited to: CVM-sponsored student events; local and national alumni events (6-8 per year); distinguished alumni fellow event; Phi Zeta Day; football suite hosting; tailgates/pregame events; veterinary medicine national organization annual alumni receptions (6-8 per year, various locations); annual lecture series (e.g. Frank Jordan, Upson); recognition ceremonies; white coat ceremony, graduation ceremonies; various other outreach activities.

Management of CVM Alumni Communications and Activities

  • Primary contact for alumni communications and public relations
  • Manage CE database and online programs
  • Develop and facilitate educational programs for alumni. This includes coordination of lectures, seminars, and workshops
  • Coordinate and facilitate alumni activities (alumni reunions, other alumni events) by working with designated alum of each Class
  • Manage the Veterinary Medicine Alumni Association (VMAA) membership dues (maintain records/invoice members as required/report to the association board)
  • Maintain up to date alumni contact information

Miscellaneous Duties: Utilize event planning knowledge and management skills to perform miscellaneous duties that contribute value to the CVM.

  • Hire, train, supervise and direct the activities of the Events Specialist and student assistants.
  • Oversee the selection, ordering, inventory and distribution process for CVM promotional items.
  • Serve as CVM’s primary source of expertise regarding event planning, offer assistance, share knowledge, strategies, and best practices to other internal CVM staff planning smaller events for their individual academic areas or units.
  • Participates as an active team member of the CVM staff including attending staff meetings and serving on CVM or University committees, as directed.
  • Other related duties as assigned

What You’ll Need to Succeed:

Minimum Qualifications:

  • Bachelors Degree
  • 5-10 years relevant experience

Preferred Qualifications:

  • Bachelor’s degree in communications, public relations, hospitality, event planning or relevant field
  • 5+ years experience including at least 2 year of experience effectively and professionally interacting with a variety of constituencies (e.g. alumni, donors, vendors and students), as evidenced by application materials.
  • Evidence of excellent word processing skills, ability to maintain spreadsheets, and/or databases
  • Experience working independently as well as in a team.
  • Experience coordinating events within or supporting a collegiate or academic setting.
  • Experience designing and executing larger scale events.
  • Consistent commitment to a high standard of excellence.
  • Demonstrated proficiency with technology and multiple computer programs (i.e. Microsoft Office including knowledge of Excel, customer relationship management software)
  • Excellent written and verbal communication skills, excellent organization skills, and the ability to work autonomously and in a team environment.
  • Strong social and communication skills and the ability to engage with others of diverse backgrounds.
  • Strong attention to detail.
