Executive Assistant (Fixed term contract - Maternity cover)

As an Executive Assistant you'll be responsible for supporting our busy Managing Director in their everyday role as well as assisting with the wider Melbourne Executive team's needs and maintaining office structures. The role is varied one day-to-day, and would suit someone that enjoys being highly organised, has good administrative skills and is comfortable interchanging between tasks. This opportunity may suit someone who already has these skills, but keen to gain some experience in creative agency environment.

Key Responsibilities

  • Extensive daily diary management to our Managing Director, Managing Partner and Executive Creative Director
  • Process monthly financial expenses and claims
  • Domestic and international travel arrangements
  • Scheduling and ensuring all requirements for each meeting
  • Preparing presentations, emails and documentation
  • Assist in facilitating and arranging internal and client events
  • Minute taking and circulating documentation
  • Manage awards and staff gifts
  • Cost approvals and timely management of reconciliation for the corporate P-Card – every Month
  • Ensure the office spaces are kept tidy and organised and the request purchase of anything required
  • Assisting the Talent team with ad hoc projects
  • Work with the social committee to drive the awesome culture of the agency
  • Assist in facilitating and arranging agency and client events and parties

Required Skills and Experience

  • Excellent communication skills, both written and spoken
  • Impeccable organisational skills with strong attention to detail
  • Great presentation skills – you have a strong handle on PowerPoint!
  • Highly developed time-management and the ability to prioritise in a fast moving environment in order to meet deadlines. You are calm and unflappable!
  • You are resourceful and have a passion for making things happen; and seeing the results when it all comes together
  • Driven by your strong attention to detail & ability to multitask
  • You love working with people and have exceptional strong stakeholder management skills
  • Proficient computer skills - Outlook, Word, Powerpoint, Excel etc.
  • Some experience in a client/customer-facing, administrative role preferred
