Job Description

  • Assist scholar services team with immigration sponsorship and processing for a diverse international scholar and employee population.
  • Assist in onboarding new scholars and employees through immigration clearance and case-related communication to stakeholders.
  • Review and evaluate intake requests for sponsorship. 
  • Create and maintain immigration records in several databases and systems. Assist with Form I-9 completion for new employees.
  • Ensure timely progression through complicated immigration processes and filings with various government agencies.
  • Conduct audits of immigration status expiration dates and remind departments and scholars to initiate timely extension processing.
  • Provide administrative support to the international student team and the management team. 

KEY RESPONSIBILITIES / ESSENTIAL FUNCTIONS & % of TIME 

30% - Provide support for the immigration clearance for new and continuing scholars and employees: 

  • Assist scholar services team with onboarding and extensions.
  • Review employment eligibility to determine if status is valid for specified employment according to US federal regulations.
  • Update ISSO records and notify associated BU departments related to immigration clearance and/or subsequent changes and extensions throughout the duration of the BU employment or activity.
  • Conduct weekly and monthly audits to identify scholars with upcoming immigration status expiration dates and manage notifications to departments, scholars and employees.
  • Monitor inquiries from international scholars and host departments via the scholar services email account. 

20% - Assist scholar services team related to the processing of employment-based nonimmigrant applications for temporary workers: 

  • Draft labor condition applications and required posting notices for review.
  • Submit and track progress of labor condition applications to Department of Labor. 
  • Draft required USCIS forms for review.
  • Compile and submit completed petitions to USCIS and upload to file.
  • Conduct periodic audits of mandated public access files.
  • Withdraw records at the end of employment or change of status.
  • Update and track important deadlines related to pending applications.
  • Prepare H packets required for new H-1B orientation and send associated notifications to hiring departments, scholars and employee. 

20% - Assist scholar services team with J-1 Exchange Visitor processing:

  • Complete preliminary evaluation of immigration processing requests and draft profile creation for advisor review.
  • Prepare informational packets that include completed immigration forms, provide appropriate follow-up instructions and pre-arrival information to department contacts and prospective scholars as needed.
  • Validate J-1 scholars arrival to SEVIS via electronic reporting and monitor the collection and follow-up to scholars related to mandatory federal health insurance requirements and/or other required paperwork.
  • Assist with updates and improvements to J-1 orientation program and provide J-1 scholar orientation presentation as needed. 

20% - Support administrative efforts of other ISSO teams (leadership, student team, admissions, systems):

  • Assist with customer service duties at ISSO front desk and phone coverage as needed.
  • Assist with new student check-in programming and processing.
  • Perform other relevant administrative duties and/or project work as assigned. 

10% - Oversee timely movement of all related forms, paperwork and correspondence to all systems and electronic document library:

  • Train and supervise student worker to ensure that all information is properly uploaded and indexed.
  • Create training materials for student workers and update as needed.

Required Skills

A cover letter is required for consideration.

  • Requires a Bachelor's degree (or the equivalent) in international relations, communication or related field and 3-5 years of experience; preferably one year of administrative experience in international education or a directly related field. 
  • Requires strong organizational and administrative skills to perform duties similar to that of an immigration paralegal professional.
  • Requires ability to maintain detailed and accurate immigration systems and records.
  • Requires strong communication skills to communicate with scholars and host departments about status of pending cases.
  • Requires the ability to work effectively in a team setting.
  • All information (written, verbal, electronic, etc.) that an employee encounters while working at Boston University is considered confidential. 
  • Will be exposed to and required to deal with highly confidential and sensitive material.
  • Must adhere to Boston University compliance policy, department guidelines, policies and all applicable laws and regulations at all times. 
  • Essential functions occur simultaneously, therefore, the employee must be able to appropriately handle each essential function, prioritize them and seek assistance when necessary. These functions need to be performed on a consistent and regular basis, using good judgment.
  • Ability to learn and apply Boston University policies consistently, seeking out guidance when necessary, is required.
