The Role: Administration Assistant

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will be responsible for providing comprehensive administrative support, with a focus on travel arrangements and visa processing for our employees.

Your Mission

  • Provide assistance to all employees for travel arrangements, including flights, hotels, visa processing, and flight changes.
  • Manage the visa processing for all employees, ensuring timely and accurate submission of required documents.
  • Prepare and issue visa invitation letters for the Global Team members traveling internationally.
  • Assist in hotel bookings, negotiating rates and managing relationships with hotel chains to ensure the best possible accommodations for employees.
  • Coordinate with external travel management partners to streamline travel processes and ensure a seamless experience for employees.
  • Arrange travel insurance for employees as required.
  • Maintain accurate records of travel arrangements and expenses.
  • Stay up to date on travel industry trends and regulations to ensure compliance and cost-effectiveness.
  • Serve as the primary point of contact for our external travel management partner, ensuring seamless coordination and communication.
  • You will provide administrative support and will directly report to the Vice President. 

Qualifications Required:

  • Bachelor's degree in a related field or equivalent work experience.
  • Proven experience as an administrative assistant or similar role, with a focus on travel coordination and visa processing.
  • Strong organizational and multitasking skills, with the ability to prioritize tasks effectively.
  • Effective communication skills, both verbal and written, with the ability to interact professionally with employees and external partners.
  • Proficiency in relevant software and tools, including Microsoft Office suite and travel booking platforms.
  • Knowledge of visa processing procedures and regulations is must.
  • Ability to work independently and as part of a team, with a positive attitude and willingness to adapt to changing priorities.
