Responsibilities

What you'll be challenged to do:

The principal objective of the Regional Business Operations Manager (RBOM) is to support the Regional Vice President (RVP), and respective Area Managing Director’s (MD’s) in their implementation of both tactical and long-term strategy for the region/area(s). Accomplishing this objective to the satisfaction of the RVP is of primary importance.

The Regional Business Operations Manager interacts with employees at every level within the organization, from Project Accountant to Principal. The performance assessment of the Regional Business Operations Manager by others with whom he or she interacts, including those in the Corporate Office and those in the local offices, is also very important, as the opinions and attitudes of colleagues contribute to the effectiveness of the Regional Business Operations Manager’s capacity to accomplish the prescribed objectives.

General Duties & Responsibilities include the following. Other duties may be assigned.

  • Works with MDs and PMs to monitor financial and project performance, ensuring the overall success of projects and ultimately, each of their offices. Combines leadership and mentoring skills in assisting MDs and PMs to establish and satisfy realistic performance goals.
  • Studies procedures and makes recommendations to improve project and office efficiency and performance.
  • Maintains familiarity with and involvement in the Office Standardization Program (OSP) process to provide essential on-site monitoring of procedural adherence from the programming stage to the move-in date, with consultation of the RVP and MDs.
  • Manages leasing sources, including continuous maintenance and evaluation of equipment leases. Such equipment includes vehicles, computers, furniture, and other provisional requirements. Additionally, the Regional Business Operations Manager coordinates the office facility needs with building owner/landlord.
  • Produces weekly/monthly project reports and provides information to RVP/MDs as required.
  • Focuses close attention on accounting department reports, advising the Regional Vice President (RVP) and Managing Director’s whenever it becomes apparent that variances in profit objectives present a future possibility.
  • Monitors transactions within accounts receivable, including holds, utilization, and write-offs. Consults with Regional Vice President (RVP), Project Managers, MDs and Client Service Team Leaders to clarify and establish the methodology and practice for determining appropriate actions to follow in ensuring that accounts receivables are collected in a timely manner.
  • Follows guidelines and instructions in “A/R Management and Collection Process” located on the TransNET under Project Management Resources site when establishing the proper methodology, with consultation of the Managing Director’s.
  • Monitors Accounts Receivable collection process, including discussion with the Director of Business Management :
  • Provides information and direction regarding A/R status;
  • Reports weekly and at monthly Project Managers meetings, communicating and reinforcing the following guidelines:
  • Proactive steps to ensure the firms invoices are processed timely;
  • Confirm process on monthly statements with A/Rs over 60 days outstanding;
  • A/Rs over 70+ days outstanding (DSO) require an action plan by the Project Manager;
  • Initiate the collection process when it has become evident that payment is not forthcoming
  • Maintains the office or multiple offices in designated area below the Company target of 70 DSO.
  • Adheres to the Deferred, Milestone and Advanced Billing process:
  • Discusses steps in minimizing Deferred (Advanced) billings;
  • Deferred and Advanced Billings Report is reviewed by PMs and Regional Business Operations Manager (RBOM), during the monthly Project Manager’s meeting and documented so that progress on issues and action plans can be evaluated in the future.
  • All explanations of deferred and advanced billings should be consistently documented with enough detail to evaluate subsequent progress.
  • During the monthly meeting, steps should be taken to document the three categories listed below:
  • Bill projects in cycle and per the contract terms.
  • Review surplus budgets on advanced billings.
  • Accurately recognize the revenue on all milestone projects.
  • Deferred billings over $1k in the monthly billing category;
  • Advanced billings over $5k; and
  • Milestone billings over $5k positive or negative.
  • Assists the Regional Vice President and MD’s in preparing annual operating budget for each office in the Regional Business Operations Manager’s, designated area as well as maintaining the 12-month rolling forecast.
  • Ensure consistent compliance of corporate policies and procedures is maintained by staff.
  • Coordinates with office staff to distribute monthly direct labor reports and assists Regional Vice President (RVP), MD’s and Division Leaders in monitoring and managing the labor force of the offices within their designated areas to ensure that it is appropriately sized/staffed for the volume of work being delivered.
  • Communicates timely and effectively on all appropriate aspects of business management with designated Regional Vice President (RVP), MD’s, and DLs within designated areas, as well as with other members of the Senior Management and Corporate Management Team.
  • Conducts monthly review meetings. Regional Business Operations Manager (RBOM) and Business Manager for each area will conduct monthly Project Review Meetings with each Project Manager to discuss the appropriateness of budget estimates for each individual project. The current agenda for these meetings are located on the TransNET under “Project Management Resources.” From there, choose Monitoring/Execution Phase, then Agenda for Monthly Project Review Meetings. The Project Review Meeting will include discussion and assessment of the following:
  • Project Schedule-timetable including start, completion, and significant points in between;
  • Current Project Budget review;
  • Troubleshooting of any “out of scope” issues;
  • Project Billing including dates and any special arrangements;
  • Advanced and deferred billings;
  • Accounts Receivable, collection process, and status of A/Rs. 
  • Assists Regional Vice President (RVP) with scheduled training for the PMs, utilizing PM Training Topics on the TransNET under “Project Management Resources.” 
  • Update project billing/budgets in the Office Annual FAR Adjustment Worksheet after the audited FAR overhead rate is issued.
  • Maintain a consistent Office Schedule of Rates annually for the firm located on the TransNET under Business Manager Resource’s site.
