Job Description Summary

Cushman & Wakefield is looking for a highly organized and dedicated Executive Assistant to provide comprehensive administrative support to our Chief Diversity, Equity, and Inclusion Officer (CDEIO). The ideal candidate will be responsible for administrative duties, research, communications and handle a wide range of administrative and executive support – related tasks for the CDEIO. As a key liaison for the DEI team, this individual will require strong interpersonal skills, understanding of the organization, and demonstrated ability to embrace change within a dynamic and fast-paced working environment. This role will require someone with the ability to work in highly confidential executive environments and make decisions based on the assessment of the situation and historical practices.

In this position, you will report to the Senior Executive Assistant and will act as a secondary support to the Senior Executive Assistant for the firm’s Chief Executive Officer (CEO) as well as ensuring smooth operation of the CEO’s office. Your responsibilities will include providing daily assistance to the CEO between the hours of 9:00 – 10:00am. Additionally, you will offer support during on-site leadership meetings.

Job Description

Responsibilities:

Strategically manage all aspects of the CDEIO’s travel, meeting request, internal and external speaking engagements

  • Arrange internal meetings, external appointments, conference calls, and conference rooms
  • Domestic and international travel management
  • Coordination and prioritization of a heavy meeting schedule
  • Provide support in preparation for all meets including, biweekly team meetings. 
  • Coordinate speaking engagements and logistics related to speaking engagement

Help manage and curate relationships with various internal and external stakeholders, including:

  • C&W C-suite / Executive Leadership Team
  • C&W Regional and Service Line Senior Leaders
  • C&W Global People Leadership Team
  • Key clients and prospects

You will be a key member of the Diversity, Equity, and Inclusion team, handling various administrative tasks as needed:

  • Monthly expenses and approvals
  • Process invoices
  • Creation/editing of presentation materials including board decks, speaker notes and agendas
  • Oversee the coordination of team meetings
  • Keep CDEIO informed about team members’ birthdays and anniversaries

Collaborate with the internal Communications team to organize both internal and external media opportunities:

  • Keep headshots and bios current
  • Prepare for town halls as well as internal and external conferences and speaking events

Other Duties may include:

  • Provide backup coverage for the CEO’s Sr. Executive Assistant
  • Work independently and together within a team on special non-recurring and ongoing projects as required which may include research, data analysis, or other administrative duties
  • Provide afterhours support as needed when traveling or during special events

Qualifications:

  • Minimum of 3 years of experience in an Executive Assistant role supporting a senior executive, with demonstrated ability to work under pressure and in a fluid, dynamic work environment
  • Demonstrate suitable confidence, experience, and maturity to interface with senior executives and customers
  • Experience with domestic and international travel
  • Experience with project management
  • Solid business judgment
  • Excellent at and eager to collaborate with many different people and groups
  • Great critical and analytical thinking skills
  • Great problem-solving skills
  • Ability to research and learn new skills independently
  • Strong written and verbal communication skills
  • Expertise in Microsoft Outlook
  • Good experience with MS Office: PowerPoint, Word, Excel
  • Ability to multi-task and meet deadlines for multiple projects

  • Comfortable working across international time zones
  • Highly organized and detail-oriented

  • Comfortable and savvy with technology and willing to troubleshoot problems with smart phones, laptops, and tablets

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.

The company will not pay less than minimum wage for this role.

The compensation for the position is: $89,250.00 - $105,000.00
