Manages the general operations of the Welcome Center, works with the Director of Enrollment Visitor Services to coordinate campus visits and special events for prospective undergraduate students, and participates in the management of the Trustee Ambassador Team. 

Primary Responsibilities: 

In close collaboration with the Director of Enrollment Visitor Services, plans and executes all special events hosted by the Undergraduate Admission. 

  • 2+ Fall Recruitment Events (On-Campus and Virtual)
  • 10+ Spring/Summer Recruitment Events (On-Campus and Virtual)
  • 40+ Spring Admitted Student Events (On-Campus and Virtual)
  • School Counselor events on and off campus to help improve relationships with Guidance Community

Manages daily visits and Welcome Center operations 

  • Management of the event module within our CRM, Slate.
  • Management of the Welcome Center operations including phone calls, email, and the cleaning and stocking of the front desk and conference areas.
  • Oversees an average of 25 daily visits per week, both on-campus and online, between the hours of 8:00 AM and 7:00 PM.
  • Coordinates with the Director of Enrollment Visitor Services on the individual assignment of Ambassadors and Admission Staff for every visit.
  • Ensures accuracy of all details related to the event for our prospective student population, including attached Zoom meeting/webinar ID.
  • Monitors registration numbers for campus visits & events and makes changes to staffing as needed.
  • Manages the Welcome Center Outlook Calendar of events for Ambassadors and Staff.
  • Reviews daily visit survey responses and works with the Director of Enrollment Visitor Services to ensure continuous improvement in our overall visit experience.

Hiring/Training/Management of the Trustee Ambassador Team 

  • Alongside the Senior Assistant Director, manage in the recruitment and hiring during Fall and Spring semesters.
  • Work with the Ambassador Supervisory team to provide training throughout the Fall and Spring Semesters including weekend-long training sessions and peer-to-peer reviews.
  • Manages the delegation and completion of day-to-day projects.
  • Management of the Trustee Ambassador payroll.

Collaborates with Key campus partners including faculty and Student Affairs staff to support prospective students through the enrollment funnel.

  • Works with the Art & Design liaison to coordinate and host recruitment and yield events for those interested in pursuing an Art & Design major.
  • Works with the Director of Enrollment Visitor Services and the Director of Enrollment Marketing in the management of all Welcome Center and event related publications and promotions.
  • Coordinate and train faculty and staff choosing to participate in various on-campus and virtual enrollment events.
  • Partner with the Office of Access and Opportunity to increase awareness of their services at our large-scale events and to enhance support for group visits.
  • Work alongside the UGA Social Media representative to encourage student-to-student engagement, and promote campus visits and events.

Support the overall enrollment efforts of the Admission team through general admission presentations as well as technical training and support through virtual events. 

  • Conduct general admission presentations for prospective students & their families.

Act as moderator for many virtual events, including those that occur outside of normal business hours. 

Requirements/Qualifications: 

  • Bachelor’s degree required. 
  • Demonstrated ability to plan and execute campus visits and events involving multiple audiences.
  • Strong interpersonal skills including the ability to work effectively with other staff members and campus representatives. 
  • Excellent oral and written communication skills
  • Excellent presentation skills. 
  • Excellent organization skills. Sets goals and seeks constant improvement in all aspects of the work environment. Follows department processes. Anticipates problems. Strong attention to detail and project completion.
  • Computer proficiency: Strong command of Microsoft Office Suite; experience with an admission CRM system preferred
  • Evening and weekend work required during peak seasons. Light physical activity is often required: moving tables and chairs, carrying event materials, lifting boxes, etc.
