Salary Range: 65,000 – 70,000 USD Annually

ALM is seeking an Event Operations Manager to join its Events team. The Event Operations Manager is charged with collaborating with other team members to ensure the successful execution of ALM’s conferences, tradeshows, and awards programs.

The Event Operations Manager will be responsible for operational aspects of all assigned events within the Events portfolio. They will coordinate all event logistics including sponsor deliverable management, attendee/honoree registration, developing menus and reviewing BEOs to enhance event experience; audiovisual sourcing and management; room block management; transportation coordination; special events creation and execution; and financial reporting and reconciliation.

The Event Operations Manager will interact with both internal and external clients and must have highly polished written and verbal communication skills, as well as impeccable organizational skills. They will manage all sponsor deliverables before, during, and after each event.

Responsibilities:

  • Develop and adhere to event plans and timelines, including internal and external deadlines
  • Coordinate internal and external resources, including venues, A/V vendors, materials suppliers
  • Act as primary point of contact for clients – on-site and in advance of events – to gather client deliverables, secure client approvals, and provide a smooth client experience
  • Coordinate all on-site logistics
  • Work with creative teams on the creation and preparation of event collateral materials
  • Be responsible for accurate and timely budgeting and reconciliation of events

Qualifications:

  • 2-5 years meeting planning/event operations experience with increasing levels of responsibility
  • Ambitious and proactive with a calm response to pressure
  • Excellent time management and multi-tasking skills to meet strict deadlines
  • Highly detail oriented and a self-starter
  • Able to work efficiently independently as well as part of a team
  • Excellent written and verbal communication skills, including writing, proofreading skills
  • Excellent interpersonal skills both in person and by phone, with high professionalism
  • Strong record of customer service
  • Resourceful, creative problem solver
  • Easily adaptable to situations and changing event demands
  • Ability to travel to events as needed
