We are seeking a Sales Coordinator to cover a 6-month maternity leave, supporting our San Francisco Worldwide Sales Office. The Sales Coordinator provides administrative support, sales analytics, customer service and sales support a dynamic team of global Account Directors. Our team is responsible for generating $400 million in annual revenue for our growing portfolio of 126 hotels and resorts around the world. This team is focused on growing business from our existing global accounts, while targeting and developing new business from companies throughout the Northwest region. This position is an integral part of the team, and a strong contributor to our success. 

Our ideal candidate is a capable administrator with a passion for sales and customer service and must be highly organized, proactive, and solutions oriented. Above all, we are looking for a positive attitude and a collaborative team player.

This is a remote role and is based in Four Seasons Hotels and Resorts, San Francisco Worldwide Sales Office, reporting to the Regional Director of Sales, Americas Worldwide Sales Organization. This role involves interactions with primarily internal stakeholders at various levels.

What You’ll Be Doing

Administrative:

  • Email and calendar management using Outlook.
  • Travel arrangement and expense report management using Concur.
  • Customer management, maintaining and updating customer profiles in Salesforce.
  • Sales activity management, entering sales activities and traces in Salesforce.
  • Lead management, entering sales leads into Salesforce.
  • Sales reporting, extracting data from Salesforce and PowerBI, exporting data to Excel, producing reports, graphs and charts.
  • Sales Presentation development, creating and updating presentations using Powerpoint.
  • Virtual meetings support, scheduling, running, and recording meetings, including webinars and presentations using Microsoft Teams.

Salesforce System Administration:

  • Manage Salesforce CRM database, entering leads, contacts, activities, traces; create and maintain customer profiles.
  • Generate weekly, monthly, and quarterly sales reports.
  • Assume responsibility to enforce corporate standards, monitor all activity in Salesforce such as: consistent account input, correct booking information, correct use of the system.
  • Assist all office users on a daily basis with questions – if fix is necessary, coordinate fix.

Sales Support:

  • Manage incoming requests from clients and hotels, act as primary client contact when Account Directors are out of the office.
  • Enter sales leads with accuracy and attention to detail.
  • Support logistics, planning and execution of regional customer events as well as internal events and meetings within the region.

Marketing Communications:

  • Generate ad hoc email marketing campaigns using Marketo.
  • Prepare sales presentations and handle all logistics to facilitate monthly customer educational webinars.
  • Analyze reports and conduct market research to support business development.
  • Manage Surveys and ROI for all revenue generating events.

Who You Are

  • Proactive, organized and customer service oriented.
  • Strong communication and interpersonal skills, excellent writing skills.
  • Experience creating marketing pieces, including brand approved presentations.
  • Ability to work effectively under pressure and handle multiple projects/deadlines.
  • Self-motivated, action-oriented and driven to achieve established goals.
  • Strong interpersonal skills – adept at developing and maintaining strong relationships with both internal and external customers.
  • Ability to remain calm and professional while working under pressure.
  • Proficient computer skills
  • intermediate to advanced proficiency with Microsoft Office Suite (Word, Excel, PowerPoint)
  • Internet Research, and
  • experience with CRM or other database (Salesforce, Power BI/SQL, Salesdesk, and Concur) necessary to complete sales and marketing support tasks.
  • Salesforce and/or other CRM database software experience preferred as noted above.

What You Bring

  • Two years equivalent work experience preferred.
  • Completed undergraduate degree from an accredited college/university.

Hourly Rate Range: $28 – $33 USD
