Essential Duties

1. Oversees and coordinates program activities. Establishes, selects, implements, and coordinates administrative functions, procedures, and systems. 2. Based on knowledge of and experience with program activities, objectives and staff, serves as principal source of information on policies, procedures, programs and office activities. Establishes and maintains professional relationships with internal and external contacts. 3. Processes and monitors expenses and ensures adherence to budgetary guidelines. Prepares budget drafts based on existing budgets. May oversee, coordinate and/or complete applications and materials needed for grant submission. 4. Composes substantive correspondence and written material. Determines sources of data. Compiles, synthesizes and manipulates data. Summarizes findings and writes, produces and distributes reports or portions of reports. May create simple databases. 5. Provides editorial support for a journal/publication. Proofreads and edits material for grammatical and factual accuracy. Tracks copy through various editing and production stages. Communicates with authors, printers, and others concerned with published work. 6. Oversees, instructs, and coordinates activities of support staff. 7. Ensure compliance with University, Federal, and State guidelines, rules, and regulations. 8. May perform other duties as assigned.

Required Education and Experience

Six years of related work experience, four of them in the same job family at the next lower level and a high school level education; or four years of related work experience and an Associate degree; or little or no work experience and a Bachelor degree in a related field; or an equivalent combination of experience and education.

Position Focus:

Under the direction of the Director of Global Programs, provides high level administrative support for various MacMillan Center affiliated programs. Oversees logistics for Program events. Plans and disseminates publicity and updates for events and websites. Arranges travel for faculty, guest speakers, and visiting scholars in compliance with University policy. Researches, makes recommendations, and carries out logistical functions and administrative matters for assigned programs. Serves as on-site contact and support for in- person and virtual events. Gathers and prepares documentation, itineraries, tax forms, receipts, and materials required for reimbursing and\\or paying professional fees, travel expenses and awards, prizes and fellowships, and invoices for international faculty, students, visitors, and vendors. Maintains and updates various list serves, email distribution lists, records and statistics. Assists with grant applications and awards. The global programs supported at any given time may vary and will be at the discretion of MacMillan leadership.

Preferred Education, Experience and Skills:

Bachelor’s degree. Senior-level experience in a fast-paced academic administration or comparable executive setting including high-level report preparation and scheduling a complex calendar for executives or faculty. Experience creating and managing databases and applying analysis to high-level reports.

Required Skill/Ability 1:

Demonstrated ability to work with high-level, confidential, and sensitive administrative-support materials. Advanced writing and proofreading skills; expected to draft memos and correspondence with a minimum of supervision and editing. Advanced Microsoft Office skills (including Word, Excel, PowerPoint, and Outlook).

Required Skill/Ability 2:

Exceptional interpersonal speaking and writing skills. The ability to interact effectively and harmoniously with faculty, staff, students, visiting scholars, and guests, with particular sensitivity to global and diverse populations.

Required Skill/Ability 3:

Strong degree of personal initiative, with the proven ability to organize and prioritize a variety of assignments in order to meet sensitive deadlines. Demonstrated ability in project management and strategic planning.

Required Skill/Ability 4:

Ability to adjust schedule to provide coverage before and after hours for events and meetings as needed.

Required Skill/Ability 5:

Knowledge of a foreign language and demonstrated ability studying or living abroad. Ability to understand, communicate, and effectively interact with people across cultures. Ability to be open to learning about different dimensions of diversity and exhibiting positive attitudes towards cultural differences.
