We are looking for someone with passion and dedication to be our next Sales Administrative Assistant who will assist the Commercial department, provide adequate information and assistance in compliance with the PMI guidelines.

Your ‘day to day’:

  • Logging and maintaining up to date records of PMTT employee vacation days, sick leave and personal days
  • Credit limit requirements for clients and payments follow up.
  • Manage and monitor the performance of third-party contractors to keep the facilities according to PMI guidelines (cleaning, pest control, etc.)
  • Communicate with the landlord and schedule and co-ordinate any work to be done with respect to building improvement
  • Support and management of all expendable office material and supplies
  • Schedule and co-ordinate meetings (virtual and physical)
  • Placement of purchase orders in SAP as required by the area.
  • Expenditure reports of supervisors
  • Coordinate meetings, videoconferences and conferences call on time (meeting room, resources, equipment’s, catering) aligned it to budget.
  • Coordinate business trips (flights, hotels, transportation, etc.) for the team and for PMTT visitors.
  • Support on the preparation, control, and review of the employee expenses reports
  • Registration, requests for boxes and liquidations to external warehouse
  • Coordinate the hiring process for contracted personnel.

Facilities:

  • Reception of contractors and remodeling work.
  • Incoming and outgoing Packages and Documents management
  • Follow-up cleaning of the facility and report any improvement issues or points raised.
  • Purchase and replenishment of office pantry stocks and supplies and Generation of Facility Purchase Orders
  • Support in the delivery of gifts and coordination of on-site events.

Fleet:

  • Collection of the km of the vehicles
  • Scheduling and delivery of company vehicles to authorized vendor for maintenance and repair (where applicable) along with relevant damage reports
  • Fleet Purchase Order Generation
  • Fleet Fuel Consumption Tracking

Market Safety:

  • First Aid Kit Review and Replacement
  • Follow up on the inspection of fire extinguishers (this is by the landlord)
  • Ease of review of safety topics c/3 months

Monitoring Center:

  • Receive our smoke detector and access control supplier.
  • Manage and receive access control cards.

Security:

  • Place security purchase orders.

IS:

  • Receive IT providers (Internet link, print, OSS)
  • Provide local IT help for anything that can't be done remotely
  • Asset Management

Who we’re looking for:

  • 3-5 years of Admin experience.
  • Proficient in MS Excel/Office tools.
  • Good communicators.
  • Able to adapt to different situations.
  • Able to prioritize.
  • Solution oriented.
