Job Purpose/ Role

We’re looking for an experienced full-time Personal Assistant (m/f/d) to the COO and Senior Management at Allianz Asset Management (AAM) based in Munich. In this role, you provide an efficient and responsive administrative, organizational, and logistical service and manage and prioritize their time. You ensure that they can focus on strategic matters by processing delegable tasks.

You will become a member of an international team with resources across multiple countries, time zones and languages.

Key Responsibilities

  • Ensure busy diary commitments are managed effectively including troubleshooting problems,
  • Oversee the daily calendar, meetings, and incoming calls
  • Coordinate and schedule meetings/phone calls and video/web conferences, including regular jour-fixe, board meetings, OE visits etc.
  • Filter emails, highlight urgent correspondence with utmost confidentiality and filter general information, queries, phone calls and invitations by redirecting or taking forward such contact as appropriate
  • Coordinate travel and accommodation requirements in connection with others and ensure arrangements in place including travel cost reimbursement 
  • Liaise with relevant individuals, external organizations etc. to arrange meetings including proactive and efficient office management, offsites, leadership meetings
  • Undertake any other duties as requested 

Key Requirements/ Skills/ Experience

In addition:

  • Professional commercial education (kaufmännische Ausbildung), Bachelor’s degree or secretarial qualification
  • Several years working experience in an personal/executive assistant role in a large organization and an international environment
  • Strong interpersonal skills, intercultural awareness, and practical experience to deal with requests from all levels of a dynamic international team
  • Ability to multitask and balance competing priorities in a dynamic environment
  • High level of professionalism and reliability with proven ability to handle confidentiality
  • Proficient with MS Office (Outlook, Word, Excel and PowerPoint) 
  • Strong organisational skills with an excellent attention to detail and adherence to deadlines
  • Self-motivated and proactive and a great team player, hands-on and can-do attitude
  • Excellent verbal and written communication skills and fluent in English and German
