Associate Publishing Administrative Coordinator

About the Team

Our team works globally with Publishers, Journal Editors and external society stakeholders to coordinate logistics for editorial board meetings. We provide general administrative support for journal and portfolio needs to our customer base. We create and provide customized reporting and data for journal performance such as usage and citation, to discover new opportunities.

About the Role

In this role you will deliver a valuable service to our team by handling various journal administrative tasks on behalf of your publishers either based in Europe or Asia. You will take ownership for coordinating off-site and on-line meetings for your publishers. You will have the opportunity to learn and develop analytical reporting through data collection, report creation, and identifying insights to contribute to our strategy.

Responsibilities

  • Coordinating logistics for off-site and on-line Editorial Board Meetings including invitations, booking locations and facilities for attendees. Ensuring a professional and seamless experience for all
  • Gathering data, information, and facts by using existing reports to build analyses for publishers to use in proposals, reports, editorial appointments and meetings
  • Contributing to Best Practice initiatives for operational procedures and workflow efficiency through collaborating with peers and internal teams
  • Taking ownership of interesting and varied administration tasks to support the publisher in the smooth running and success of our journals.
  • Manage various systems to ensure that data is up to date and accurate
  • Communicating confidently and widely to ensure that tasks are kept on track and any problems resolved

Requirements

  • Have great organizational and prioritising skills and be able to provide timely and consistent support to teams
  • Have excellent written and verbal communication skills and demonstrate an eye for detail
  • Be data literate and have an analytical mindset with skills to manage data and derive insights.
  • Be able to gather data for analysis from several sources and systems and present in a clear and readable format
  • Have excellent computer skills in Microsoft Office with proficiency in Excel and the ability to learn new systems
  • Enjoy collaborating with teams to deliver projects that help make a difference
