Job Summary/Basic Function 

The primary responsibility of this position is to provide support and coordination for a range of Concordia Language Villages programs throughout the academic year and summer programming seasons.

This position:

  • Is highly collaborative
  • Involves significant interface with a large variety of stakeholders and colleagues at all levels, including:
  • Seasonal staff and deans/program leaders
  • Current and prospective program participants and families
  • Alumni
  • Current and potential business partners
  • Organizational departments such as marketing & enrollment, human resources, finance, and development.
  • Involves coordinating logistical details, communicating via email and phone, participating in meetings via Zoom and in-person
  • Supervises seasonal transportation staff
  • Handles information requests
  • Communicates with the general public on behalf of the organization
  • Periodically plans and attends local events.

The position is based in the Concordia Language Villages Minneapolis office, with an option for a hybrid work schedule involving both office and work-from-home hours throughout the week. The person in this position will work an average of eight hours a day, with some flexibility on hours possible during the academic year.

Position Responsibilities:

1. Support the mission and vision of Concordia College and Concordia Language Villages and demonstrate the competencies as defined for this position.

2. Program Coordination – 55%

  • Coordinate virtual programs by setting up Zoom meetings, sending welcome letters, working with instructors to ensure communication with participants and sending supplies to registered participants
  • Collect and review summer welcome letters and Village-specific forms from summer deans annually; collaborate with registration department to ensure the timely sending of welcome letters to registered families
  • Coordinate seasonal session calendars in cooperation with program directors
  • Serve as liaison with summer deans and registration department to manage session wait lists, capacities and limits
  • Communicate program schedules and schedule changes in a timely manner to internal stakeholders as needed.
  • Prepare periodic reports, file documentation and process required paperwork to support necessary tracking and follow-up for registration and transportation activity.
  • Grant reconciliation and reporting for language program grants (Arabic, Chinese, Japanese, Korean, Portuguese, Russian, Spanish)
  • Collaborate with program directors and the Bemidji program coordinator to keep documents updated and current (Ultracamp forms, handbooks, etc.)
  • Research new language-specific contacts and reach out to new potential partners
  • Act as the administrative contact for Village Parks and Global Quest programs. Handle communications and budget management between the Minneapolis Park Board and Concordia Language Villages as needed.
  • Attend meetings and functions as needed to support programming across Language Villages.
  • Regularly review participant surveys, communicate survey results to program leaders, and bring significant issues to the attention of the Program Director.

3. Twin Cities Transportation Management – 25%

  • Serve as lead on hiring process for temporary transportation employees in summer – recruit applicants, coordinate with HR to post positions, review applications, conduct interviews, complete hiring processes
  • Onboard, train, schedule, payroll and supervise temporary transportation employees in the summer
  • Plan and coordinate orientation for summer transportation team members
  • Oversee vendor relations by handling scheduling, contracts and invoices.
  • Manage financial processes for transportation expenses
  • Collaborate with Summer Staff Orientation Committee to coordinate transportation for summer seasonal staff

4. Customer Service & Communication – 10%

  • Respond to customer questions as needed, providing polite, responsive, informative customer service in a timely manner to engage and enable optimal program engagement
  • Coordinate exceptions with deans; handle program-specific questions that need potential dean input
  • Be familiar with financial and registration software and processes in order to respond to customer inquiries and communicate about customer enrollment with other departments

5. Events & Office Administration – 10%

  • Serve as point of contact for staff and villager community and promotional events at Norway House
  • Prepare for, support and attend conferences, fairs, events, festivals, and other outreach efforts. This may include identifying and scheduling volunteers or workers to support such events.
  • Complete I-9s as needed for Twin Cities-based seasonal staff
  • Oversee Twin Cities office budget; coordinate storage and movement of office equipment and technology

6. Other duties as assigned; occasional regional travel required as needed

Minimum Qualifications 

  • At least two years of administrative support/program coordination experience and/or at least two years of post-secondary education
  • Knowledge of commonly used software including Microsoft Office: Word, Excel, PowerPoint; Database Applications; Google Suite; Outlook/e-mail
  • Experience in coordinating logistics and scheduling related to transportation
