Position Summary:

The Project Manager II works alongside the Project Managers I, Senior Project Managers and Program Managers to perform project management duties that support the initiation, planning, execution and closing of medium to large IT projects. Participates in all phases of the project lifecycle and processes for projects of varying complexity. The Project Manager II will schedule and conduct project meetings, manage project artifacts, communicate assignments and expectations to project team members and track completion to ensure quality and integrity of deliverables. Negotiate project resources with respective internal resource managers and/or vendors throughout the project lifecycle as approved by delivery leaders and sponsors. 

Position Responsibilities:

Key Areas of Responsibility

1. Project Management

a. Participates in PMO operations and manages medium to large sized projects of varying complexity.

b. Partners with Executive Sponsor(s) to build a relationship that best manages expectations and supports project execution and implementation

c. Schedules and conducts key project meetings for stakeholders, sponsors, teams, vendors, etc.

d. Creates meeting materials (including agendas, presentations, meeting minutes and other project-supporting materials as required for the project team members) and tracks completion to ensure quality and integrity of deliverables.

e. Follows ITS PMO methodology and utilizes documented standards, templates and tools.

f. Ensures all projects in “Planning” have a minimum of Charter, Scope, Governance Chart, Stakeholder Register, draft schedule/timeline and prioritized RAID (Risks, Assumptions, Issues and Dependencies) ready for review as needed.

g. Contributes to and assists in the design of efficient PMO procedures and policies.

2. Data Integrity, Documentation and Reporting

a. Creates weekly reports for project team meetings in order to manage priorities, highlight risks/issues and share best practices.

b. Creates and maintains project work plans, issue lists, decision lists, risk/issue registers and status reports.

c. Provides managerial reports as needed, ensuring quality and integrity of data before publishing and socializing them including but not limited to a weekly personal status report and monthly project portfolio report.

d. Manages project contracts and ensures that during its lifecycle the project adheres to contractual stipulations and/or makes recommendations where contract may need to be modified based on project changes.

e. Monitors and tracks ancillary project financial data and artifacts including, but not limited to, invoices, purchase orders, ITS labor hours.

f. Responsible for maintaining own portfolio of projects on the PMOs’ SharePoint sites.

g. Responsible for integrating into project management activities the appropriate use of the standard PMO and company assets and tools including (but not limited to) ServiceNow and Smartsheet.

h. Be a peer reviewer and act as the back-up for colleagues’ projects as assigned.

3. Process Improvement and Quality

a. Serves as the point of contact with the department’s customers and must provide excellent and consistent customer service.

b. Organizes and priorities large volumes of information, requests and calls; recommends ways to create efficient and productive departmental workflows and triage work requests.

c. Serves as the point of contact with the department’s customers and must provide excellent and consistent customer service.

d. Constantly seeks ways to improve departmental processes, products and policies.

e. Surveys Executive Sponsor(s) and key project stakeholders at the middle and end of each project to gauge customer satisfaction with project management services.

f. Participates in daily management huddles and runs huddles on a rotating basis with team members.

g. Adheres to project management industry best practices, including those espoused by the Project Management Institute (PMI).

h. Ensures that the project achieves success based on the defined success metrics.

4. Perform other related duties as required

Qualifications

Education

  • Minimum: Bachelor’s degree
  • Preferred: Bachelor’s Degree or higher with a concentration in project management along with knowledge and skills obtained through a combination of education, training, and related work experience

Experience

  • Minimum:

o 3 years’ prior project management experience in an Information Technology setting.

o A solid understanding of project management tools and techniques

  • Preferred:

o Having worked in the healthcare industry

o Epic experience

o Having worked in a PMO

Licensure, Certification, Registration

  • Minimum: Achieved Project Management Professional (PMP) certification prior to employment
  • Preferred:

o Agile certification in DASM, CSM or other

o Change Management certification
