We are seeking a Pension and Benefits administrator and process improver to join our dynamic HR team and play a critical role in managing and improving our global pensions and benefits programs. 

Job Description

As a Pension and Benefits administrator at H&M you will be responsible for administering our local Swedish pensions and benefits programs and to some extent our international pensions and benefits programs, ensuring compliance to relevant laws and regulations, as well as to H&M specific guidelines. You will also be responsible for identifying process improvements, ways of automation and simplifications within the pension & benefits administration field. In this context, you will be a key player in implementing identified improvements together with the Global pension & benefits specialist. You will be the owner of H&M’s administrative routines, guidelines and processes concerning pension & benefits in Sweden, as well as to some common international pension & benefits. 

You will also be responsible for performing required coordinated investigations with People Services (first line support) regarding both Swedish and international pensions and benefits. Further, you will manage the day-to-day required contacts with H&M’s selected vendors and constantly seek ways to improve their administrative deliverables. 

Key Responsibilities: 

  • Manage Global Pension Plans: Administer our global pension plans, including contributions, enrollments, terminations and salary changes. 
  • Manage local Swedish Pension Plans: In collaboration with the payroll team, secure our local Swedish pension plans, including contributions, enrollments, terminations, salary changes. 
  • Benefits Administration: Administering employee benefits programs, including health insurance, retirement plans, company cars and other employee benefits. 
  • Compliance: Stay updated on laws and regulations as well as H&M specific guidelines, ensuring compliance from an administrative perspective. 
  • Subject Matter Expertise: Provide subject matter expertise within pensions and benefits from an administrative perspective to support decision-making and employee inquiries. 
  • Process design and improvements: Identify admin process improvements and collaborate with the Global pension & benefits specialist to carry out implementations. 
  • Administrative routines and guidelines: Design and document administrative guidelines and routines, making sure they reflect business needs. 
  • Communication with vendors: Effectively communicate H&M’s administrative needs to the selected vendors and constantly seek improvements. 

Qualifications

  • Minimum 10+ years of experience working with Pensions & Benefits in a local Swedish and global environment. 
  • Strong knowledge of laws and regulations related to Pensions & Benefits, primarily in Sweden. 
  • Knowledge and experience of international Pension & Benefits administration. 
  • Subject matter expertise in Pensions & Benefits. 
  • Expert knowledge of Swedish Pensions & Benefits administration, extensive experience and knowledge from senior management benefit plans. 
  • Excellent business understanding and the ability to translate business context into processes, routines and necessary actions from a Pensions & Benefits admin perspective. 
  • Extensive knowledge and expertise concerning Swedish CBA (Collective Bargaining Agreements) from a pension & benefits perspective. 
  • Strong ability to identify admin process improvements based on system support tools, with automation as an end goal. 
  • Strong analytical and problem-solving skills. 
  • Excellent communication and interpersonal skills. 
  • Advanced proficiency in English and Swedish. 
  • Planning & Organizing skills 
  • Ability to work in a team or independently on assigned projects. Strong organization skills. 
  • Ability to deal with ambiguity while juggling multiple priorities. 
  • Strong attention to detail, and ability to work with highly sensitive and confidential material.
