The Senior HR Specialist will play a key role on the HR Shared Services team at our corporate offices in Portland, Oregon.

The Senior HR Specialist will be responsible for facilitating on the job training and support for HR Business Partners, managers, regional recruiting support, HR file/I-9 auditing and management, and problem-solving escalations. Roles and responsibilities of an Sr. HR Specialist include but are not limited to: responsibility of unemployment claims, HRIS data entry, field recruiting support, auditing, project management, and providing world-class customer service via phone, email, and in person.

Essential Functions:

  • HRIS entry and auditing: Responsible for high volume UKG Pro workflow entry and auditing; ensure timely and accurate entry.
  • Field recruiting support: Responsible for posting job openings, engaging with hiring managers regarding open requisitions, reviewing and forwarding resumes for review, and managing the pre-employment process. 
  • HR file auditing: Responsible for auditing employee files against standard and following up with field for missing acknowledgements.
  • Form I-9 auditing: Responsible for auditing Form I-9’s for accuracy and completeness. 
  • Unemployment Claims: Facilitates the management and delegation of unemployment claims, responds to all claims by state due date.
  • Customer Service: Provider of high volume tier 1 HR customer service to approximately 3,500 employees, former employees, HRBP’s, family members, etc. on issues such as Human Resources, Payroll, and Benefits.
  • Onboarding: Assist with the onboarding new employees at corporate offices (new hire paperwork, Form I-9, Code of Conduct training, benefits administration, etc.)
  • Project Management: Responsible for special project work as needed based on department and business goals.

Physical Activities Required to Perform Essential Functions:

Ability to: lift and carry up to 10 pounds frequently; sit for extended periods of time, up to 6-8 hours per day; keyboard for extended periods of time, up to 6 hours per day; be mobile within an office setting; assemble papers, paper punch, staple, file, photocopy; apply sufficient force to open and close file drawers; communicate by speech and hearing in person and/or by phone in a businesslike, professional manner. Visual acuity needed to perform close detail work for preparation and proofreading of business correspondence and operating a computer terminal.

Interpersonal Contacts:

This position involves phone, written, and face-to-face contact with all levels of employees from entry level clerks to executive officers. Communication ranges from answering simple questions to discussing company policies. External contacts by phone, in writing or face-to-face include all levels of job applicants, government agencies, attorneys, consultants, other HR professionals.

Job Conditions:

Average office conditions, little privacy. Constant interruptions make concentration difficult. Time deadlines create pressures to prioritize work. The team is currently working in the corporate headquarters (Portland, Oregon) two days per week and remotely three days per week, which is subject to change.

Qualifications:

  • 3 plus years of HR, Benefits, Payroll, or HRIS experience strongly required
  • 3 plus years in a customer service role required
  • Bachelor's degree in Business Administration, Human Resources, Hospitality, or similar preferred
  • Comfortable working across multiple platforms (SharePoint, HRIS, ATS, Microsoft Office Suite)
  • Ability to communicate with all levels of an organization from entry level to executive
  • Ability to maintain confidential and sensitive materials and information
  • Strong written and verbal communication skills
  • Strong attention to detail and accuracy in work
