Job Description

We have an exciting opportunity for an Administrative Coordinator to provide support for Kite’s Corporate Strategy and Global Portfolio Strategy departments. We are looking for someone who can be forward-thinking and proactive in Kite’s dynamic and fast-paced organization. This position will be based at Kite’s corporate headquarters in Santa Monica, California, and will report to the Head of Corporate Strategy while also working across boundaries and supporting Kite’s Corporate Strategy team and the Head of Global Portfolio and Program Strategy. The incumbent will have exceptional administrative and organizational skills and excellent written and verbal communication skills. This position requires a confident and capable demeanor and strong interpersonal skills to interact effectively with all levels of employees across various Kite and Gilead functions.

Responsibilities for this position will include the following:

  • Actively manage executives’ daily calendar; schedule meetings/calls, anticipate scheduling issues, manage changes and resolve conflicts.
  • Provide general administrative support to executives.
  • Schedule and coordinate all staff meetings and team meetings, including minutes and follow-up actions, working with the Corporate Strategy and Global Program and Portfolio Strategy team members.
  • Closely manage department budgets for Corporate Strategy, including processing and tracking payment of invoices and sponsorships, coordinating with outside vendors and the internal Finance team and managing year-end accruals.
  • Provide project management support, including supporting on-site events and volunteer activities at the Santa Monica office; also help support with tracking goals and deliverables for departmental projects.
  • Creating and maintaining department organizational charts.
  • Plan and submit travel instructions to travel agencies and develop travel itineraries, including lodging, ground transportation, meetings, etc.
  • Track expenses and file expense reports on behalf of executives.
  • Assist with onboarding of new team members.
  • Coordinate with other company administrative professionals, specifically with the administrative coordinator of Global Program and Portfolio Strategy and those supporting other senior executives, particularly those on the Kite Leadership Team (KLT).
  • Closely track the Kite corporate calendar and amend schedules accordingly. 

Basic Qualifications:

  • Bachelor’s Degree OR
  • Associate Degree and 2+ years of experience OR
  • High School Degree and 3+ years of experience

Preferred Qualifications:

  • Prior experience working within the life science industry, supporting an executive leader
  • High degree of professional ethics and integrity, with excellent attention to detail.
  • Excellent verbal, written and interpersonal skills. This includes excellent proofreading and document editing.
  • Advanced knowledge and experience with MS Office, including Outlook, Word, PowerPoint, Excel, SharePoint, and MS Teams, as well as other common software such as Adobe Acrobat.
  • Ability to adapt to a constantly evolving environment.
  • Proactive; anticipate potential issues and mitigate as needed.
  • Self-motivated with an excellent sense of ownership in areas of responsibility.
  • Exceptional professionalism in handling confidential material.
  • Willingness and ability to work with and coordinate activities across many individuals in various departments.
  • Ability to multi-task and triage a heavy workflow appropriately, setting appropriate priorities and delivering results efficiently. Ability to keep the big picture in mind and influence workflows accordingly.
  • Ability to think creatively, devise solutions to challenging problems and effectively facilitate issues to closure.
  • Exercise mature and reliable judgment while enjoying the company's fast-paced environment.

The salary range for this position is: $97,495.00 - $126,170.00. Kite considers a variety of factors when determining base compensation, including experience, qualifications, and geographic location. These considerations mean actual compensation will vary. This position may also be eligible for a discretionary annual bonus, discretionary stock-based long-term incentives (eligibility may vary based on role), paid time off, and a benefits package.
