ACCOUNTABILITY OBJECTIVE: The position is accountable for operational support to the Alternative Education Program. The position also assists principals, staff, and other administrative secretaries as may be necessary. The administrative secretary collaborates with program staff and school/agency personnel in the maintenance and transfer of student records. This position requires the incumbent to follow all rules and regulations as outlined by the Administration of the Allegheny County Jail; this includes but is not limited to possessing and maintaining security clearances issued by the Allegheny County Jail Administration.

PERFORMANCE ACCOUNTABILITIES:

  1. Produces and maintains AEP communications, spreadsheets, rosters, Microsoft office documents, Google documents, AEP programming databases, and confidential correspondence. Develops proficiency using AEP Student Information System, PowerSchool.
  2. Maintains, communicates, and coordinates the logistics and details that include, but are not limited to: visitors to the jail, new staff orientation, workshops, technology needs, in-services/meetings, and jail programs related to the school.
  3. Communicates professionally using discretion with internal and external customers at all times. 
  4. Prepares, processes, assists, and ensures accuracy in purchasing, invoicing, accounts receivable/payable, and other budget-related AEP/AIU functions.
  5. Works with minimal supervision.
  6. Initiates and implements strong problem-solving skills and exercises judgment in the resolution of administrative problems.
  7. Create, maintain, and update all program-related reports and databases as required, including, but not limited to: student grade reports, attendance, contracts, student databases, special education and Penn Data information, directories, staff evaluations, inventory, and other documents as assigned by Supervisor.
  8. Performs clerical functions, including, but not limited to: maintaining supplies, filing, sorting mail, generating mailings for distribution, and generating meeting minutes.
  9. Completes other duties as assigned by Supervisor.

1. High School Diploma required; Business School or Associates degree preferred.

2. Minimum of 3+ years’ administrative experience required.

3. Advanced level expertise with Microsoft software programs and proficiency with Google applications required.

4. Ability to work independently and in circumstances of complete confidentiality in a work environment populated by troubled youth.

5. Strong organization skills and attention to detail required.

6. Ability to work under pressure, be flexible, and work as part of a team.

7. Self-motivated; demonstrated initiative and ability to follow through with completion of task.

8. Ability to take direction and complete tasks with minimal supervision.

9. Excellent communication skills, both written and verbal, required.
