The Team

The mission of the Global Policy & Advocacy (GPA) division is to understand and shape the public policy debates affecting the foundation’s work, build support for its major program and policy objectives, and develop partnerships and alliances that can advance the foundation’s objectives nationally and globally. Because the foundation’s resources alone are not enough to solve the challenges ahead, GPA also supports advocacy efforts to engage diverse stakeholders and promote innovative solutions that advance our program goals. We work in close partnership with grantees, our colleagues in the Global Health, Global Development, Global Growth & Opportunity, U.S. and Gender Equality programs and Foundation Communications to build the environment in which all people have the opportunity to lead healthy and productive lives.

The Program Advocacy and Communications (PAC) team works in partnership with program teams and other teams in Global Policy and Advocacy (GPA) to achieve their policy and finance goals by:

  • Developing and coordinating the execution of advocacy and communications strategies.
  • Leveraging leadership and foundation voice to implement advocacy strategies.
  • Developing and managing grant portfolios dedicated to achieving advocacy outcomes.
  • Directly advocating with sector leaders, influencers, media and government officials to achieve advocacy outcomes.
  • Leading issue-specific communications in service of advocacy goals.
  • Developing policy recommendations or proposals in partnership with programmatic and regional offices.

Your Role

The Program Assistant (PA) provides a wide and varied set of administrative support for a Deputy Director and several Senior Program Officers. Efficiency, attention to detail, flexibility, good judgment, and confidentiality are essential in this role to ensure smooth team operations.

What You’ll Do

  • Manage constantly changing, complex calendars including meetings with participants in multiple time zones, both internal and external to the foundation.
  • Proactively anticipate needs – weekly planning, resolving scheduling conflicts, optimizing short- and long-term schedule, agenda planning and reminders.
  • Provide operational support, including, but not limited to, knowledge management, maintaining an organized virtual filing system, creating/tracking team meeting agendas, and capturing action items from key meetings/convenings.
  • Manage domestic and international travel arrangements and itineraries, including international visa applications.
  • Support team meetings, including the organization of retreats, as relevant.
  • Able to undertake records and data management, including but not limited to, management of the team SharePoint site, maintaining an organized filing system, etc.
  • Assist with the planning for events, meetings, conferences, retreats and presentations.
  • Work on team-specific special projects, as needed.
  • Interact, and communicate clearly and consistently with grantees and partners.
  • Build and regularly manage internal and external relationships that advance the ease of communication for you and your supported principals’ work.
  • Integrate culture-building into the daily work of your team.

Your Experience

  • Bachelor’s Degree with 3+ years of experience, or equivalent experience.
  • Experience supporting high-level individuals, across multiple time zones, different cultures and work styles.
  • Excellent oral and written communication skills; must be able to communicate effectively with internal and external contacts and have the ability to adjust to a wide variety of working styles.
  • Proficient with MS Office Suite.
  • Demonstrated ability to work with flexibility, efficiency, enthusiasm, and diplomacy both individually and as part of a team effort.
  • Demonstrated passion for the foundation’s values with commitment to deliver results against the foundation’s mission.
  • Must be able to legally work in the country where this position is located without visa sponsorship.

The typical salary range for this role is $29.98 to $41.98 USD per hour. We recognize high-wage market differences where our offices are located, in Seattle and Washington D.C. As a mission-driven organization, we strive to balance competitive pay with our mission and new hires are typically brought into the organization at a salary range between the minimum and the midpoint salary range. Actual placement in the range will depend on a candidate’s job-related skills, experience, and expertise, as evaluated during the interview process.
